The Client Engagement Scheduling Specialist

  • This position provides daily response to all incoming calls directed to each location and schedules medication appointments.
  • Also provides an exceptional customer service experience on behalf of the center.
  • Maintains a professional demeanor bearing in mind that this position makes both the first and last impression on every client.  
  • Assumes responsibility for correctly entering all required appointment information on established and new clients into AthenaHealth. 
  • Upholds and abides patient confidentiality policies and procedures. 
  • Directs clients to the proper facility to assure they receive the assistance needed.
  • Maintains schedule for all staff providers.
  • Schedule new patient appointments and utilizes Centralized Scheduling Resource Guide Book for scheduling.
  • For new patients set up a medical record number for client benefits and retrieves initial data entry information from the phone call.
  • Notifies supervisory staff if psychological evaluation is scheduled outside the ten (10) day timeframe.
  • Ensures that all JIT (Just in Time) scheduling components are met.
  • Completes no call, no show reports on a weekly basis.
  • Knowledge of the IAT software, understanding of how to add referral clients into the IAT application.
  • Responds to emails, all flags and voicemails within 2 business day.
  • Willingly assists in daily work duties when other schedulers are absent.
  • Submits timesheet and other paperwork by due date determined by Supervisor.
  • Keeps productivity to at least 95% accuracy without errors.
  • Attends scheduled meetings without tardiness.
  • Ensures the Center's vision for handling the specific workflow is met.

COMPENSATION: Starting salary for this position is approximately $15.20/hr. based on relevant experience and education.

Schedule: Monday-Friday 8:00am until 5:00pm. No weekends or overtime required.

Travel: N/A  

Equipment/Technology:

  • Uses computer and headset
  • Copier with scanner.
  • Desktop phone and general office equipment.
  • Also must be comfortable with Windows 13, Excel, and Google Chrome
  • Email.
  • Timekeeping.
  • Documentation in the electronic medical record.

QUALIFICATIONS - Client Engagement Scheduling Specialist

Education: 

  • High school diploma or equivalent required. 
  • Experience in the area of administrative duties and scheduling preferred.

Experience / Knowledge:

  • Must have at least two (2) years of experience in a professional healthcare office environment. 
  • Customer service orientation skills required. 
  • Must be comfortable with computers, phones and technology.
  • Strong communication skills both written and verbal with positive phone manner;
  • Strong organizational skills with the ability to handle multiple projects and appropriately prioritize tasks are required.

Physical/Emotional/Social-Skills/Abilities:

  • Normal/corrected eyesight. 
  • Hearing within normal range.
  • Must have mental health competency.
  • Able to work in a structured environment.
  • Excellent listening skills and maintain a positive rapport with clients as well as co-workers.
  • Applicants should be able to exercise sound judgement under pressure.
