OFFICIAL TITLE: Clerk IV, Psychology
SUPERVISION RECEIVED: Department Chair
SUPERVISION EXERCISED: May supervise student employees
General Statement of Duties: The Clerk IV serves as a primary point of contact and clerical support for the entire Psychology Department.
Responsibilities:
(E) = Essential
  1. (E) Responsible for exceptional front-line customer service; greeting students and guests, answering telephones, and responding to inquiries related to the department according to established procedures.
  2. (E) Prepares correspondence to include letters, memos, emails, schedules, and newsletters for the department. Proofreads typed materials for accuracy and completeness.
  3. (E) Files materials in accordance with prescribed classification system, converting print files to electronic files, wherever possible; ensures all files are accessible and accurate.
  4. (E) Performs data entry tasks to include inputting data into Colleague, as well as pulling data from databases for reporting purposes.
  5. (E) Assists department chair with tasks including communications and budget management and course scheduling.
  6. (E) Prepares requisitions, purchase orders, and invoices for procurement and accounts payable purposes.
  7. (E) Receives and distributes incoming mail.
  8. (E) Assists with event planning including but not limited to: reserving rooms, ordering food, and other relevant tasks.
  9. (E) Orders and maintains office supplies, keeping workroom well-stocked and organized.
  10. (E) Supervises work study students.
  11. (E) Completes and submits hiring paperwork and timesheets for student employees.
  12. (E) Maintains records of faculty attendance and submits to payroll.
  13. (E) Assists students with preparations for meeting with Academic Adviser during pre-registration periods.
  14. (E) Distributes, receives, and organizes student evaluations of faculty.
  15. (E) Stays up-to-date on training in University systems such as Colleague, Blackboard, Web Advisor, and website management.
  16. (E) Maintains departmental calendars and coordinates schedules for the Chair for meetings, appointments, presentations, etc.
  17. (E) Demonstrates civility and professional, customer-service oriented behavior, worthy of emulation by other staff and students.
  18. (E) Responsible for contributing to the WSU Strategic Plan.
  19. (E) Responsible for contributing to Equal Opportunity/Affirmative Action objectives.

Requirements:
Required Qualifications:
  • At least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.*
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*
III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience.*
*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.
  • Knowledge of the English language including spelling, word meaning and word usage.
  • Ability to understand and apply the laws, rules, policies and procedures governing assigned unit activities.
  • Ability to read, write, and comprehend the English language.
  • Ability to use proper grammar, punctuation and spelling.
  • Ability to follow written and oral instructions.
  • Ability to assemble items of information in accordance with established procedures.
  • Ability to work accurately with names, numbers, codes and/or symbols.
  • Ability to file material in accordance with standard filing procedures.
  • Ability to maintain accurate records.
  • Ability to communicate effectively in oral expression.
  • Ability to establish and maintain harmonious working relationships with others.
  • Ability to deal tactfully with others.
  • Ability to exercise sound judgment.
  • Ability to exercise discretion in handling confidential information.

Preferred Qualifications:
  • Strong Microsoft Office skills, including Word, Excel and PowerPoint.
  • Experience in Colleague, Blackboard, Web Advisor.
  • Experience working in a higher education setting.

This is a grade 13, non-exempt, full-time (37.5 hours), benefited AFSCME position. The bi-weekly salary is $1,667.36 (annual salary is $43,351.36)
Work Schedule: Monday through Friday, 8:15am- 4:15pm.
