Description
INTRODUCTION
A. This position is within various Raleigh Radiology facilities, and free-standing outpatient imaging centers located in Wake County, N.C., and surrounding areas.
B. The primary function of the Clerical Supervisor at Raleigh Radiology is to oversee the daily operations of clerical departments within their assignment, ensuring that all patients and patients' accounts are taken care of with the highest degree of quality and efficiency. Additionally, they will function as working team members within their department, leaders to clerical staff at all locations within the organization and to serve as a liaison between the clerical staff and senior leadership, physicians, and referrers.
C. The Clerical Supervisor is responsible for the coordination of staff schedules and regulating workflow for efficient departmental operations; this includes approving PTO, ensuring coverage, and approving time sheets.
D. The Clerical Supervisor's responsibilities include assisting in establishing/updating protocols, policies, and procedures; assisting with hiring, training, performance evaluations, and disciplinary action plans; managing inventory usage and waste; maintaining and scrubbing daily patient schedules.
E. This position requires a thorough understanding of clerical processes and procedures, as well as strong leadership and communication skills.
F. This position reports to the Senior Manager of Practice Operations for their assigned location.
I.MAJOR DUTIES AND RESPONSIBILITIES
1)Supervisory Duties50%
a) Oversee daily operations of the clerical departments, including scheduling, staffing, and patient flow.
b) Aid as a clerical source to all Raleigh Radiology staff.
c) Monitor daily productivity and quality outputs for direct reports, providing ongoing and real-time feedback to team members to ensure optimal performance.
d) Assist Senior Manager Practice Operations with coordination of staff schedules and float to sites as required.
e) Serve as a liaison for communication between radiologists, managers, technologists, and clerical staff when required.
f) Perform QA with clerical processes and protocols.
g) Participates in training of new applications and assists in training clerical staff.
h) Establish, update, and maintain clerical protocols, policies, and procedures.
i) Assist with hiring, training, and performance management for direct reports.
j) Ensure accurate staff records are kept current and accurate for direct reports.
k) Manage resources to meet budgetary goals.
2)General Clerical and Patient Care Duties40%
a) Maintains standards of professional care and patient confidentiality.
b) Implements policies and procedures at Raleigh Radiology.
c) Perform clerical duties in a safe, efficient, and professional manner to include all required protocols.
d) Assists with patient education in requirements needed prior to having the exam.
e) Participates in economical utilization of supplies.
f) Assures work areas are always maintained and available for use.
g) Assists co-workers and physicians in giving care to patients.
h) Establishes and maintains open communication.
i) Utilizes teaching opportunities with patients and other significant individuals.
j) Assists with emergency measures for sudden adverse occurrences in patients.
k) Maintains a clean, safe, and well-maintained supplied environment for patients and staff.
l) On a regular, sustained basis, cooperates with other staff members both inside and outside the department in accomplishment of own job duties as well as assisting others in accomplishing theirs; serves as a team player and role model for other employees in the organization, always exhibiting traits of courtesy, caring, helpfulness, and respect; conducts oneself in a service-oriented manner that is attentive, pleasant, cooperative, sensitive, respectful and kind when dealing with team members, visitors, public and all employees.
m) Performs other duties and accepts responsibility as assigned.
n) Engages with patients to ensure a positive patient experience.
3)Safety/Infection Control5%
a) Adheres to safety/infection control policies and procedures.
b) Reports unsafe work areas and assures follow-up.
c) Assesses patients and plans appropriately for safety/infection control.
d) Assures that all equipment necessary for the provision of care is readily available and in working order.
e) Reports incidents and unusual occurrences according to department policies.
f) Wear protective aprons, eyewear, masks, gloves, and radiation monitoring devices, as required for each procedure.
4)Other Duties5%
a) Maintains strict confidentiality of all facility and facility-related employee and/or patient information.
Performs other duties as assigned.
Requirements
I. EDUCATION, EXPERIENCE, CERTIFICATION, LICENSURE
A.Education: High School Graduate. Associate degree preferred.
B.Experience: Minimum 3 years of medical office experience. Radiology office experience is a plus. At least 1 year in a supervisory role is preferred.
C.Certification: None
D.Licensure: None
II.DESIRED SKILLS
Excellent verbal and communication skills are required. Ability to work independently, follow instructions, and make sound decisions. Flexibility, dependability, and professionalism are required. Excellent interpersonal and customer service skills. Organizational skills and attention to detail. Excellent time management skills, with a proven ability to meet deadlines.
III.WORKING CONDITIONS/PHYSICAL REQUIREMENTS
Must be able to read without strain printed material the size of typewriter characters, glasses permitted, and the ability to hear the conversational voice, with or without a hearing aid, or the ability to compensate satisfactorily; may be exposed to infections and contagious diseases. Frequent, prolonged periods of standing and/or walking. Lifts, positions, pushes, or transfers patients. Lifts and moves supply boxes. Subject to rotating weekends, holidays, or other shifts, including on-call rotations.
IV.NATURE OF SUPERVISION
A. Supervised by: Senior Manager Practice Operations
B. Supervises: Direct clerical reports at an assigned location.
C. Instruction/Assistance/Review of Work:
The Clerical Supervisor functions with oversight by the Senior Manager of Practice Operations although considerable independent work is required. Review of work is generally limited to assurance that work performed is in accordance with policies and procedures. The employee is expected to inform management when unforeseen events/circumstances require significant changes.
