Job description

Under the general direction of the Trial Division Director, schedules Circuit Court proceedings, including trials, pre- and post-trial matters, and referee hearings, and prepares and processes documentation and records resulting from the hearings. Performs case flow management functions in compliance with the Michigan Court Rules and provides administrative support to the judges, referees, and director. Ensures substantive and procedural compliance to all Michigan Court Rules, Statutes and State Court Administrative Office requirements in the daily court operations.


This is a full-time benefited position. Typical working hours are 8:00am-5:00pm, Monday - Friday.

The essential functions of this position include, but are not limited to, the following:

  1. Manages and maintains the judge's calendar, schedules conferences and other proceedings on judges' and attorney/referees' dockets and prepares and sends proof of service. Sends notices after hearings regarding opportunity to object to recommendations and schedules de novo hearings before the Court as necessary.
  2. Ensures the accurate and timely preparation and processing of all case documentation in compliance with Michigan Court Rules and requirements of the State Court Administrative Office.
  3. Assists customers on the phone and at the counter, explaining court policy and procedures for felony criminal matters, civil matters, and domestic relations matters and Friend of the Court matters; judgments; and Court orders; and/or refers customers to appropriate court offices.
  4. Reviews incoming Court Orders submitted for Judge's signature to ensure accuracy and compliance with appropriate Court Rules and Statutes. Obtains Friend of the Court and Prosecutor approval of Orders as necessary.
  5. Prepares confidential administrative support for the judges of the court, including preparing documents, maintaining confidential files, records, and reports, and ensures the integrity of the confidential materials.
  6. Receives and processes motions and briefs submitted to the court for filing, submits them to the law clerk for analysis, if necessary, and contacts attorneys prior to scheduled dates to ensure that trials will be heard and/or motions will be heard as scheduled and that appropriate motion statements and briefs have been filed.
  7. Prepares case monitor cards for new civil, domestic relations and criminal cases on Imaging System.
  8. May perform other functions as necessary, including assistance with the collection process of felony cases, accounts payable, or serve as a court recorder as required to cover absences of the court reporters or for overflow scheduling of hearings, trials, conferences, depositions and other matters.
  9. May perform some more difficult and confidential functions of the Trial Division Director in the latter's absence.
  10. Helps support an equitable, safe, diverse and inclusive workplace.
  11. Performs other functions as assigned.

Associate's degree with one year of progressively responsible experience in court administration, business, or legal secretarial field or an equivalent combination of education and experience.

Must be certified by the State of Michigan as a Certified Electronic Operator or obtain the certification within one year of employment.

Required Knowledge and Skills:

  1. Understanding of strict confidentiality requirements.
  2. Working knowledge of Michigan Court Rules, privacy requirements related to court records and court administrative procedures and practices.
  3. Thorough knowledge of civil, criminal, domestic relations and Friend of the Court processes.
  4. Accurate keyboarding skills, computer literacy and knowledge of word processing, spreadsheet and database management applications.
  5. Knowledge of court recording protocols and requirements and the proper use of court recording equipment.
  6. Good time management and organizational skills.
  7. Good verbal and written communication skills.
  8. Excellent interpersonal and human relations skills.

Note: Bi-lingual communication skills are preferred, especially Spanish.

Must be able to perform essential job functions with or without reasonable accommodations, including, but not limited to, visual and/or audiological appliances and devices to increase mobility.

Working Conditions:

Work is generally performed in a normal office environment.
