Office & Communications Administrator

$20-$22 per hour based on experience
Purpose
To provide administrative support to the Pastor, Staff, and Volunteer Leaders of the church and send information from them to church members and the community at-large.
Position Summary
This is a part-time, solo position in a medium-sized church that requires multitasking, handling interruptions, and relating with other staff, church members, volunteers, members of the public and various committees. It will also require coordinating scheduled events, handling the unexpected, answering the telephone, meeting the public face-to-face and possessing up-to-date office skills. An outgoing personality, excellent communication skills, punctuality, flexibility, ability to meet-and-greet and be the voice and face for the church to its members, staff, and the public are essential criteria of the position. The position reports to the church Pastor. Office hours are 9:00 - 2:30, M-F, with 30 minutes for lunch. The hourly compensation is $22.00. The church is looking for a long-term association and only serious, qualified applicants will be considered. Organizational Relationships
Reports to Pastor. May also assist other staff members and Session members in the performance of responsibilities. Interacts with various committees, the congregation and the public. Supported and reviewed by HR Committee.
Principal Duties and Responsibilities
1. Serves as the friendly face of the church to all who visit during office hours and as the helpful voice of the church to all who contact us by electronic means (telephone, email, text message, etc.)
2. Performs secretarial work for the Pastor, including typing, filing, routine correspondence, telephone coverage, and greeting the public.
3. Prepares and distributes church bulletins, inserts, announcements, letters to the congregation, email blasts, monthly newsletters, annual reports, etc.
4. Maintains and refreshes the church website and keeps it up-to-date.
5. Tracks attendance of worship services and Sunday School by providing attendance forms to ushers and Sunday School teachers and compiling information gathered in Church Windows database. Provides information on visitors to the Pastor and Membership Committee for personal contact. Updates membership database on the church computer.
6. Maintains the church calendar, both the master calendar and the desktop calendar available at the front desk. Coordinates all functions ensuring no conflicts occur between interested groups involving space/facilities.
7. Provides administrative support for church committees and organizations as directed by the Pastor.
8. Inventories and orders office and janitorial supplies. Coordinates office expenditures with the Financial Manager. Schedules routine maintenance and emergency repair service requests for office equipment.
9. Performs monthly updates on Livescan reports.
10. Communicates clearly and effectively with people who call or come into the office. Responds promptly to emails and phone messages.
11. Attends staff meetings as needed.
12. Performs other duties as assigned.
Qualifications Guidelines
Education, Training and Experience
- High School Diploma or equivalent is required.
- Clerical, secretarial and/or administrative experience or equivalent education and experience.
- Experienced in relevant software programs such as Microsoft Office Suite, Microsoft Publisher, Church Windows, Constant Contact and Website Network administration.
Knowledge, Skills and Abilities
- Proven administrative skills in Microsoft Office with the ability to master a variety of cloud-based computer software.
- Proficient in use of office equipment.
- Self-starter with ability to follow through on details.
- Effective interpersonal skills with the ability to relate to a variety of personalities.
- Ability to multi-task, prioritize work and meet deadlines.
- Effective phone etiquette skills and ability to direct phone calls to appropriate parties.
- Must maintain confidentiality at all times.
- Bookkeeping skills desirable but not required.
