- We are looking for a competent Office Assistant to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working, outgoing professional able to undertake a variety of office support tasks and work diligently in a fast paced environment. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
Responsibilities
Perform receptionist duties which include but are not limited to the following:
- Greeting and welcoming patients upon arrival
- Ensuring that the waiting area remains in excellent condition at all times
- Answering phone calls and responding to e-mails
- Scheduling appointments
- Sort and distribute communications in a timely manner
- Monitor level of supplies and handle shortages
- Preparing treatment rooms prior to appointments, as needed
- Organize office and assist associates in ways that optimize procedures
- Collecting and recording patients' personal and medical information
Perform administrative duties which include but are not limited to the following:
- Verifying payment methods, including patients' health insurance coverage
- Create and update records ensuring accuracy and validity of information
- Resolve office-related malfunctions and respond to requests or issues
- Coordinate with other departments to ensure compliance with established policies
Skills
- Strong interpersonal and organizational skills
- Well-groomed, professional appearance
- Proven experience as an office assistant, or in another relevant administrative role
- Knowledge of computer systems (EHR software)
- Working knowledge of office equipment (i.e. computers, scanner, multi-line phones)
- Excellent organizational and time management skills
- Analytical abilities and aptitude in problem-solving
- Excellent written and verbal communication skills
- Proficiency in MS Office
