Elevation Marketing is a small to mid-sized, full-service B2B-only marketing communications agency, located in Gilbert, Arizona. Our client roster includes 45 companies with revenues of over $1B annually and a variety of other small and medium-sized companies. We are adding to our team of outstanding, high-performing, highly collaborative team members to keep up with our clients and their demands on us.

The Chief of Staff serves as a key resource, right hand, and force multiplier to the President and the management team, supporting special projects, partnerships, relationship management, and communications with internal and external stakeholders. This role is responsible for streamlining high-importance projects and leading initiatives that have an impact on the company’s business objectives.

The Chief of Staff operates at a tactical, strategic, operational, and administrative level, often handling the oversight of projects that do not neatly fit within the organizational chart or that fall between departments or leaders’ areas of responsibility.

The Chief of Staff is both a confidant for the President, as well as a trusted resource for them to off-load high-priority projects. The Chief of Staff helps the president prioritize where to focus their time, identify what and how projects can be delegated, and manage these projects to ensure business success.

Due to the highly collaborative nature of agency work, this job is not remote and is based in our beautiful Gilbert office (Phoenix Area). The agency does provide two work-from-home days (or four half days) a month plus a solid PTO program and other agency benefits. The agency is also closed for a week from Christmas through New Year’s.

Responsibilities:

Gatekeeper/Prioritization/Administration

  • Protect the president's time to maximize allocation towards high-leverage initiatives & matters.
  • Monitor information flow, ensuring the President's involvement in a project or decision-making process at the right moment.
  • Communicate, present, and stand in for meetings on behalf of the president as needed.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the President.
  • Act as a liaison and provide support as directed by the President for the management team
  • Reflect presidents’ style and values inside the agency.
  • Help the President be prepared and manage all details, so meetings, decisions, and action items become frictionless for the President.
  • Conserve the president's time by reading, researching, collecting, and analyzing information as needed, in advance.

Administration

  • Determine which of the president’s meetings take priority and support the president in calendar management, scheduling meetings, and Inbox management.
  • Schedule meetings; draft agendas; develop, compile, and distribute presentation materials.
  • Help support and produce proposal documents, presentations, and pitch decks.

Task & Project Management

  • Work with the president to define, develop, and streamline strategic initiatives, mapping out actionable steps to help the Presidents vision become tangible and executable.
  • Ensure timely and effective completion of initiatives and tasks led by the president.
  • Helps president delegate and follows up on delegated projects to ensure business success.
  • Work on special projects for the President including human resources, marketing, reporting and those requiring cross-departmental collaboration.
  • Assist with special projects as needed.
  • Completes projects by assigning work to appropriate staff, including the Executive Team, on behalf of the President.

Human Resources

  • Manage employee review processes across the agency.
  • Post job descriptions on various sites like LinkedIn and ZipRecruiter
  • Review resumes and select ones to review for the president.
  • Set up initial interviews for the President.
  • Work with the office manager to set up interviews with other staff managers.
  • Manage internship program.

Collection of Data & Reporting

  • Prepare Word, Excel, PowerPoint presentations, reports, special projects, and other documents in support of objectives for the organization.
  • Collect and format data throughout the agency to compile monthly KPI tracking reports for 30 key agency KPIs across the organization.
  • Collect account data from account services team monthly to inform agency revenue projections.

Marketing & Sales Support

  • The president also carries the Chief Revenue officer’s role (with account services, sales, and lead generation teams) so you will help support the president teams as directed by president.
  • Working with internal teams, help drive (project manage) agency-related marketing projects for Elevation itself (not clients)
  • Take recorded sales calls with key prospects and produce detailed notes.
  • Help collect and put in report form sales KPIs.

Experience and Skill Sets:

  • Bachelor's degree or above
  • 3-5+ years of related experience required in working in a Chief of Staff, key operating position or substernal high-level administrative position in a small to mid-sized business.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Ability to think strategically, tactically, and administratively to drive initiatives to completion.
  • Ability to communicate effectively and professionally.
  • Flexible hours as dictated by the needs of business for projects and meetings.
  • Business sense - has a strong business sense and can decipher priorities and make sound judgment calls when needed.
  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
  • Commitment to excellence - perform duties at the highest level possible on a consistent basis.
  • Excellent communicator - able to interact with people of all levels in a confident, professional manner.
  • Demonstrate ability and temperament to work with sensitive information.

Compensation and Benefits

Elevation strives to provide some of the best agency compensation and benefit packages in the Great Southwest. The job is in Gilbert, AZ (just off the Loop 202 expressway) and less than one mile from over 50 restaurants. Our business is all about collaboration, so we do not offer telecommuting currently, but we do offer flex hours depending on the position and clients. Employees can start at any time between 7 AM and 9 AM and finish between 4 PM and 6 PM based on client demands and department structure. Elevation pays for 95% of employee’s life, health and long-term disability insurance. Elevation offers vision, dental and a variety of other benefits that an employee can purchase. The kitchen area is full of free snacks and beverages. Tuition reimbursement is available. The salary range for this position will vary depending on experience and skills outlined above.
