Job Summary:

The Medefy Chief of Staff role is an executive-level employee who supports the Chief Executive Officer (CEO), acting as the right-hand advisor, sounding board, and gatekeeper to the CEO and possesses in-depth knowledge of daily operations, providing project management, and implementing strategic planning processes.

Job Duties & Responsibilities:

  • Communication liaison: Responsible for relaying information between executive team members and other staff members. Attends board meetings, provides an overall picture of productivity to executives and stakeholders, and then transmits information to the department heads.
  • Consultation: Provide data analysis and metrics of the company’s productivity to the executive team, then suggest strategic initiatives to improve workflow, teamwork, and budget management.
  • Measure team performance: Determine performance indicators for the company, and deliver those metrics to board members.
  • Oversee daily operations: Work on the everyday action items that the executive team members do not have time to carry out, such as working with department leaders on project coordination and business administration.
  • Prioritize tasks: Assisting the CEO with scheduling to make the most of their limited time. Schedule meetings and travel or delegate those duties to an executive assistant.
  • Problem-solving: Identify employee issues and provide workable solutions, then communicate only the pertinent details to the executive team and board members, who may or may not follow up with additional direction.
  • Project assessment and facilitation: Whenever the CEO or board members execute a new initiative or special project, you’ll assess the risk, cost, and work required to achieve it, then facilitate and oversee the enterprise to completion.
  • Board and Meeting Preparation: aid the CEO and his leadership team with preparation for meetings (leadership and otherwise), offisites, Board meetings, etc. by gathering data, building materials, arranging agendas, structuring conversations, etc.
  • Research Projects: aid in expanding the CEO’s knowledge by researching and presenting on various subjects.
  • Representing the CEO: be a proxy for the CEO by attending meetings or events in his stead.
  • Spearheading Special Projects: execute and deliver various special projects that fall into the CEO’s purview.
  • Coordinate with Administrative Staff: coordinate with executive admins to arrange calendars, travel arrangements, etc.
  • Investor and Board Communications: aid in the construction and distribution of investor-related communications.
  • Performs other duties as assigned.

You must have at least the following:

  • Bachelors’ degree in business administration, finance, economics, or other related field
  • Minimum of 2 years of experience in Chief of Staff, Chief Operating Officer, or other related executive level role
  • Minimum of 2 years of prior experience in a business or executive management position, specifically overseeing multiple departments with an emphasis on communication, problem-solving, and leadership skills.
  • Excellent communication skills, both written and verbal
  • Excellent emotional intelligence, diplomacy, and judgement
  • Excellent time management and multitasking skills
  • Excellent organizational skills and attention to detail
  • Project management experience: experience with project coordination, budget management, data analysis, and strong decision-making skills.
  • Experience monitoring internal team processes
  • Experience monitoring business metrics
  • Experience communicating and reporting operational data to internal teams and higher-ups
  • Ability to quickly learn and perform in new environments

It would be great if you have:

  • Masters’ degree in business administration, finance, economics, or other related field
  • Relatively tech savvy (we are a SaaS company after all)
  • 2+ years’ experience in any of the following areas: health insurance, employee benefits, insurance brokerage, HR, telemedicine, general healthcare

Supervisory Duties: No supervisory duties.

Travel Requirements Percentage: Up to 20% or more may be required.

Physical and Mental Requirements:

  • Occasionally move inside the office to access file cabinets, office machines, etc.
  • Prolonged periods of being stationary at a desk and working on a computer
  • Communicating with others to exchange information via typing
  • Must have close-range clarity of vision with or without corrective lens
  • Ability to simultaneously address multiple complex problems; Multitask without loss of efficiency or accuracy, able to perform duties from multiple sources
  • Interact appropriately with a variety of individuals including customers, clients, and vendors and under adverse circumstances
  • Must maintain regular attendance and be punctual
  • Must be able to exercise independent judgment and make sound decisions
