The Charge Capture Specialist reports to the Team Leader of the Charge Operations and ultimately reporting up through the Senior Vice President - Revenue Cyle Management and is responsible for capturing, through a wide range of methods, certain charge documents (anesthesia records, preop assessments, billing sheets, operative notes, insurance demographics, and patient demographics) to verify, reconcile, and securely upload those documents to the company's outsourced Revenue Cycle Management organizations for the billing of all anesthesia professional fees.
The position is responsible for providing constant communication within the company and with various outside facility contacts to ensure that the revenue, as represented by the charge documents, is properly captured each day from a wide range of delivery methods (scan documents, mail documents, fax documents, fed ex delivery, SFTP e-files, Requests for Additional Information {RAIs}, etc.).
A strong sense of attention to detail is needed for this position since reconciliation, audits, liaison activity, research and other editing responsibilities are a large part of this role. The Charge Capture Specialist must have strong communication skills and will be expected to work closely with others to ensure an accurate count of daily charges for each facility was sent to the centralized office. For those case type reconciliations, the daily count will always be compared back to the daily schedules (plus add-ons) that was provided from the facility.
Responsibilities:

  • Always maintain complete confidentiality and compliance with all regulatory and accrediting institutions in the daily performance of duties
  • Autonomously and independently perform the duties and responsibilities of a Charge Capture Specialist and exercise reasonable and well thought judgment such that the daily operations, administration, reconciliations, and other like duties and responsibilities are professionally carried out to ensure the overall success of the company and any of its affiliates and will ensure proper controls are in place to store and file any paper records at the corporate office
  • Perform a visual scan on each Anesthesia Record document to ensure that the minimum billing elements are included in order to prevent Requests for Information (RAIs)
  • Coordinate the receipt of any RAI information back from facility personnel, providers, and research facility systems to ensure that each RAI is completed swiftly so that the anesthesia charges are billed appropriately.
  • Efficiently maintain all paper records and digital records as applicable
  • Update the daily tracker for each facility to ensure that no charge records are missing from any facility
  • Understand obligations as it relates to the Company's Healthcare Compliance Program including participating in training efforts, complying with policies and procedures, and alerting a supervisor to any potential compliance violations

Core Competencies:
  • Demonstrated proficiency in computer software, including but not limited to Microsoft Office Suite
  • Keen attention to detail and time management skills; must be able to work independently and thrive in a remote team environment
  • Excellent communication skills, attention to detail, customer service, audit capabilities, and strong communication skills as well as the ability to interact with the company's customers, outsourced revenue cycle management personnel, the company's management personnel and partners

Qualifications:
  • High school diploma required, advanced degree and/or Certified Professional Coding (CPC) or Certified Professional Account Technician (CPAT) is preferred
  • 2 - 3 years of experience performing similar duties and/or experience in a high-volume medical office environment
