Description of Job

Work Unit:
This work unit exists to provide administrative services in the form of gathering capital campaign revenue for the Facilities Master Plan projects of the Colorado State Fair Authority. This position will produce information for the Colorado State Fair management, including marketing materials, budget management and prior year comparisons.
Position:
The purpose of this position is to oversee capital campaign finances, to implement the plan for implementation, oversee logistics, support and work with campaign committee volunteers as well as the General Manager in all aspects related to the capital campaign.
Duties:
Duty: Campaign Coordination
Brief Duty Description:
  • Position guides the implementation of the campaign tactics to achieve campaign targets and success. Position ensures campaign plan and timeline are maintained, implemented, and adjusted as needed.
  • Position collaborates with staff to ensure the campaign plan and timeline are high priorities.
  • Position serves as the liaison with outside campaign consultant and General Manager to facilitate implementation of the phases in the campaign plan. Position supports staff and volunteer leadership to achieve campaign goals.
  • Manages campaign prospect lists in partnership with the fair General Manager, conducts research as necessary, and supports cultivation and solicitation strategies for individuals, corporations, and foundations.
  • Monitors cultivation and solicitation activity with prospective campaign donors and participates in the cultivation and solicitation of selected donors if appropriate.
  • Develops positive relationships with current donors and provides stewardship to the donor cultivation process.
  • Oversees campaign tracking and creates standard and ad hoc reports on campaign activity.
  • Facilitates the implementation of campaign communications and messages with leadership and the marketing team.

Duty: Sponsor Related Events and Promotions
Brief Duty Description:
  • Campaign activities are consistently tracked and accurately recorded.
  • Campaign financial information is accurate and up-to-date.
  • Campaign status reports are completed on time and provided to campaign committees at every meeting.
  • Ad hoc campaign reports are created when requested.

Duty: Campaign Plan Implementation and Timeline
Brief Duty Description:
  • Position works with the General Manager and Volunteers to ensure the campaign remains on schedule.
  • Position ensures internal stakeholders receive campaign communications on a scheduled basis.
  • Position is responsible for recurring internal meetings occurring on schedule, and appropriate materials are prepared in advance.
  • Position is responsible for recurring campaign committee meetings occurring on schedule, and appropriate materials are prepared in advance.

Duty: Volunteer Management
Brief Duty Description:
  • Position establishes volunteer leadership relationships and supports volunteer engagement.
  • Position convenes, supports, and manages the overall relationship with campaign committees.
  • Position works with General Manager to ensure volunteers are recruited and on boarded appropriately.
  • Position ensures that volunteers are engaged and prepared prior to each meeting and that volunteers have clearly defined roles and receive ongoing communications.
  • Position is responsible for volunteers being provided with appropriate support to make the capital campaign successful.

Duty: Other Duties
Brief Duty Description:
  • Position is serves as backup for Administration Office Program Assistant III (#301) for answering, routing all incoming phone calls and assist walk in customers representing.
  • Position is serves as backup for Administration Office Program Assistant III (#301) receiving, opening and sorting incoming mail daily and accept delivery packages.
  • Position works with General Manager of special projects.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
Must be a Colorado resident at the time of application.

This is a term limited position, and that funding may expire after 60 months.

Salary Range:
$2,154.92 - $2,586.00 Biweekly
$56,028.00 - $67,236.00 Annually
Although the full salary range for this position is provided, appointments are typically made at or near the range minimum.
Minimum Requirements:
Proven Experience, Knowledge, Skills:
  • Six (6) years of professional experience in full time project management, client success, business development, fundraising/sales, management of finances for a campaign and/or volunteer management This experience must include management, and financial reporting responsibilities. This experience must be documented on your application.
    • Part-time experience will be prorated.

OR
Education:
  • Bachelor's degree from an accredited college or university in finance marketing, business, agriculture, or a field of study closely related to the position.
AND
Experience:
  • Two (2) years of professional experience as listed above.

Preferred Qualifications:
  • Budget management experience including creating comprehensive budget reports and data analytics.
  • Experience coordinating volunteers' stakeholders.
  • Management of internal stakeholders and campaign communications

Substitutions:
  • Master's or doctorate degree from an accredited college or university in a degree or participation in a fellowship or internship closely related to the assignment may be substituted for the bachelor's degree and one year of general experience.
Conditions of Employment:
  • Must be willing and physically able to help with event set-up and tear down, including carrying loads up to 20lbs if required.
  • Circumstances will require position to work outside of regular business hours when needed.
  • Must possess and maintain a valid Colorado Driver's License with the ability to independently travel.
  • Will be required to work varied schedules that may include nights, weekends, holidays, extended work hours and extended numbers of days especially in the summer months leading up to and including annual State Fair and other large special events.
  • Position is not eligible for remote work. Circumstances may require position to work outside of regular business hours during the 11-day State Fair and for other special events.

Required Competences
  • Excellent computer skills including proficiency with Microsoft Office and Google Suite
  • Volunteer management and working with organizational campaigns that rely on temporary employees and volunteers.
  • Strong organizational and follow up skills with attention to detail.
  • Ability to build and maintain positive working relationships with management, co- workers, clients, and customers using principles of good customer service.
  • Willingness to be flexible and work in a fast-paced environment with a changing workload and sudden shifts in priorities.
  • Detail oriented.
  • Excellent communication skills; able to communicate effectively and articulately in writing and orally with diverse communities in all corners of the state.
  • Work well under pressure.
  • Strong relationship management skills and excellent representation of the department in community interactions.
  • A proven track record for developing and maintaining trusted relationships with stakeholders and industry experts.
  • Excellent negotiation and consensus building skills.
  • Proactive approaches to problem-solving and with strong decision-making capability.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
