Job description

As the Ops & PMX Coordinator, you play a pivotal role in ensuring seamless and efficient daily operations of our camp. Your position involves daily parent communication and a high level of professionalism that represents the onsite team and the Headfirst brand. You will be prepared to jump into every camp role during the course of the summer, utilizing your onsite knowledge and camp program training to support a cohesive and consistent camper experience.

Additionally, this role involves going above and beyond in both customer service and operations management, establishing a bridge between the camper experience, families, our aftercare partner (AlphaBEST), and Headquarters. You'll collaborate closely with AlphaBEST to facilitate safe and engaging after-camp parent communication and carpool. 

Camper ages: 3-12 years old

Schedule: 

  • In-season (late June through August): 10:00 am – 6:15 pm Monday – Friday
  • Pre-season (mid-May and early June): select evenings and weekends for training and site preparation

Compensation: $18 / hour

 


  • Bring Our Brand to Life
    • Collaborate closely with the Customer Experience Coordinator to support day time parent communications, including inquiries, concerns, and updates through phone, email, and in-person interactions
    • Collaborate effectively with the Headfirst Headquarters Team and on-site leadership to ensure the delivery and execution of first-class customer service during the aftercare hours of 3 p.m. to 6 p.m.
    • Act swiftly and anticipate how small details may impact a camper’s experience, and work to proactively problem-solve issues as they arise
    • Practice resiliency and arrive with a “How Can I Help?” mentality that puts camper experience and team success at the forefront through problem solving and trying new things
  • Set the Stage for Camp
    • Be the expert in daily afternoon carpool set-up, break-down and operation
    • Lead all staff in executing an efficient afternoon carpool ensuring staff welcome families to camp by name with top notch Headfirst-level energy and coordinated carpool procedures
    • Inventory and organize key operational supplies including popsicles, t-shirts for staff and campers, tents, coolers, sunscreen, signage, and paper goods
    • Pack camper t-shirt bags correctly and ensure the timely hand out of these take-homes each week
  • Be the Bridge
    • From 10 a.m. to 3 p.m., serve as a versatile and adaptable team member, ready to step into various leadership or counselor roles when necessary to maintain the camp's operations and ensure a positive camper experience
    • From 3 p.m. to 6 p.m., be the face of end-of-Day Customer service, problem solving, and relationship building with families 

 

  • End the Day Strong
    • Own camper check-out and dismissal processes, administrative paperwork, authorized driver identification checks, and operational clean-up when all campers have departed, setting up your team for a seamless start to the next camp day
    • Lead an efficient and safe afternoon carpool, with top notch Headfirst-level energy and coordinated carpool procedures for up to 50 campers each afternoon
    • Work as a team with the AlphaBEST Lead Coordinator, acting as the main point of contact for any on-site escalated cases, material needs support, and technology management
    • Implement Headfirst safety protocols on supervision, bathrooms, emergency medications, and camper behavior management, retraining your team as needed

 

  • Be an Active Member of the Camp Team
    • Arrive on time, communicate schedule changes promptly, be a loyal and consistent team member who shows up for the campers and your team
    • Work directly alongside the on-site team to create the best experience possible for all campers


    • Adhere to the Headfirst Cell-Phone free policy, powering down and putting cell phones in Yondr pouch for the duration of shift.

Completed at least (3) years from an accredited undergraduate institution or have equivalent educational experience.

  • Experience:
    • At least three (3) years of relevant professional experience working with children of all ages 
    • Majors in education, sports management, and child development fields viewed favorably
  • Must be able to:
      • Work around small children including sitting, standing, running, and climbing stairs for the full day.
      • Work in hot and outdoor environments while actively supervising campers and participating in dynamic activities for extended periods of time. 
      • Lift and carry up to 30 pounds occasionally.
  • Required Certification
    • First Aid & CPR Certification, or the ability to complete these prior to May 30, 2024.
