Job Summary
Perform a wide variety of administrative duties for the Information Technology Department including providing administrative/Business Support to members of IT SLT (IT Senior Leadership Team, i.e. Directors and VP/CIO). Participate in initiatives and programs to improve department performance and objectives.
Job Responsibilities
  • Provide administrative/Business Support to IT employees, including the following: review time entry reports for unapproved time and communicate status to employees; maintain files, such as personnel files, confidential employee information, etc.; make logistical arrangements for department meetings as needed such as conference rooms, audio-visual equipment, lunches, etc.; perform monthly P-Card statement reconciliation;; order and maintain stationary and other supply inventory for IT employees; sort incoming mail and process outgoing mail, open and follow up on work orders with building services; coordinate special events for the department.
  • Support a variety of specific IT "programs". Examples include supporting the IT-specific staffing process, including setting up phone screens and interviews; overseeing the transition of outsourced contractors on and off of the PSEG account, including acquiring user ids, obtaining remote access capability; assisting in weekly change management meetings; tracking internal audit action plans to ensure timely closure, etc.
  • Participate in initiatives and programs to improve department performance and meet departmental goals and objectives supporting benchmarking initiatives as requested.
  • Assist managerial and professional staff on individual projects or special assignments when requested and directed by manager.
  • Conduct onboarding sessions for new employees and contract associates. Work with administrative teams to update program based upon feedback by supporting the coordination with HR Staffing/Outreach.

Job Specific Qualifications
Required Skills, Competencies, Education and Experience:
• At least two (2) years of experience performing administrative duties
• Demonstrated planning and organizing skills, excellent oral and written communication skills, and the ability to effectively handle multiple tasks simultaneously
• Proficiency in the use of PC applications such as Microsoft Word, Excel and PowerPoint and SAP
• Excellent computer skills and the ability and willingness to learn new software programs
• A high degree of initiative, professionalism and self-motivation in identifying and accomplishing tasks
• Ability to work independently, meet deadlines and work under pressure
