The Business Services Administrator will provide bookkeeping, accounting, and operational support to the FLCC Association, Inc.

RESPONSIBILITIES:

  • Prepare and manage general ledger, accounts receivable, and accounts payable entries for all Association accounts
  • Administer all Association, Housing, Athletics, and Student Corporation credit card accounts; manage payment processing
  • Generate monthly financial statements and reconciliations on all accounts
  • Maintain vendor records, including certificates, inquiries, orders, and communications
  • Prepare and submit bi-weekly payroll and retirement contributions
  • Maintain employee records, coordinate onboarding of new employees, file appropriate employee paperwork with government entities, assist with Open Enrollment, and serve as point person for benefits questions
  • Administer semester Housing account balance reports and provide timely updates and posting of transfers
  • Liaise with FLCC Foundation and FLCC Center for Student Well-Being regarding student emergency loans
  • Manage campus card software, including GET Funds and CBORD, and serve as a point of contact for all questions and issues
  • Manage and coordinate repair and replacement of cafeteria equipment and coordinate inventory with the dining vendor
  • Collaborate with the Director of the Child Care Center to oversee client records including Child and Adult Care Food Program, Department of Social Services, and Federal Block Grant
  • Perform periodic audits of internal departments and external contracts
  • Serve as the primary liaison with Student Corporation in support of ensuring accurately completed and documented vouchers
  • Reconcile cash and financial aid meal plans
  • Work collaboratively with Athletics, Child Care, Housing, Student Corporation, and contracted dining, vending, and bookstore companies to ensure compliance with Association policies, procedures, rules, and regulations
  • Follow all fiscal policies and procedures of the organization, call attention to problems or deficiencies
  • Maintain audit-required documentation and fixed asset and depreciation schedules
  • Prepare and reconcile all ledgers and upload all reports prior to audit commencement; collaborate with the Executive Director and the audit team during field and off-site work, including follow-up questions
  • Responsible for quarterly funding of HRA accounts, Paid Family Leave and disability reporting
  • Submit Workers’ Compensation and Disability claims and reports for all employees; respond to Unemployment Insurance claims
  • Maintain current knowledge of regulations and compliance that affect the Association
  • Perform special projects and other duties as assigned

QUALIFICATIONS:

  • Demonstrated ability and strong desire to provide high standard of customer service with enthusiasm and energy
  • Ability to accept direction, prioritize, and work under pressure and time constraints
  • Friendly, courteous, and professional demeanor
  • Strong communication and telephone skills
  • Capable of interacting with various constituencies, including staff, faculty, administrators, parents, and students
  • Proficiency in MS Office, and MS Outlook
  • Experience in QuickBooks Online preferred
  • Associate Degree Required; Bachelor’s Degree Preferred in Accounting, Business Administration, or related field
  • 1-3 years of accounting experience preferred, preferably in a not-for-profit organization

ORGANIZATIONAL RELATIONSHIPS:

  • The Business Services Administrator reports to the Executive Director

COMPENSATION AND BENEFITS:

  • Full-time hourly position, 52 weeks per year, 39 hours per week
    • Monday-Thursday 8:30am -5pm and Friday 8:30am -4pm

  • $45,000 - $55,000
