JOB SUMMARY:

Expanded Education at New England Conservatory is looking for a Business and Operations Manager as we expand programming, implementing new technology to support our work, and increase our reach in the greater Boston area and beyond. Reporting to the Director of Business and Enrollment Operations. this new position manages financial functions such as faculty payroll, contract and grant accounting, budgeting, forecasting, student scholarship awards, procurement card reconciling, and invoicing to vendors. This position additionally works collaboratively to support the organization and planning of operations for Expanded Education programming as this new division grows and evolves. ESSENTIAL FUNCTIONS:

• With a full understanding of NEC’s budgetary structure and processes and under the direction of the Director, responsible for the accounting, analysis, and projections of all Expanded Education accounts and budgets.

• Coordinate complex monthly faculty payroll process, with accuracy and timeliness. Answer questions from faculty and prepare payroll documents.

• Manages and facilitates the faculty hiring , onboarding , and contracting process, ensuring timely and accurate for new faculty and other roles as applicable. Ensures cohesion to NEC policies and collaboration with other campus partners.

• Track tuition revenue, and reconcile across various budget lines for all programs.

• Complete frequent revenue and expenses projections utilizing revenue and enrollment data. Prepares complex technical, administrative, and financial dashboards and statistical reports that present and interpret data.

• Communicate and answer inquiries from departments or programs regarding budgets and actual spending.

• Provides oversight for student accounts including management and monitoring of accounts receivables. Engages with students and families about complex student account issues, pending balances, and/or questions. Process refunds when necessary.

• Assist to prepare the budget to be approved by the senior leadership and Board of Trustees on a quarterly basis.

• Maintain/record/reconcile the transactions for several accounts, included grant-funded accounts that require reporting to external agencies.

• Review and approve requisitions, purchase orders, sends authorizations, and expense reports. Reconcile and accurately classify all expenditures including procurement card transactions.

• Identify and make recommendations for process improvements and operational efficiency enhancement for Business and operational functions within Expanded Education.

• Provide specific planning and organization support and oversight for grant program operations, including coordination and communication aspects for satellite and partnership programing.

• Collaborate with Expanded Ed colleagues, as well as partner constituents, to ensure successful implementation, adaption, and sustainability for new growing programs.

QUALIFICATIONS:

• Bachelor’s degree in Accounting, Business, or Finance preferred, or an equivalent combination of education and experience.

• 3-5 years’ experience working in payroll management, accounting, or budgeting, preferably in higher education.

• 2-4 years of experience with budgeting and enrollment databases, preferably Slate CRM. Strong organizational and multitasking skills including the ability to be detailed oriented and deadline driven with exceptional analytical skills along with maintaining accuracy.

• Strong knowledge of MS Office applications, Google Suite, and spreadsheet applications

• Ability to comprehend, analyze and summarize complex financial information and perform reconciliations.

• Preference is given to candidates who have higher education enrollment and budgeting experience.

• Excellent interpersonal communication skills, with a focus on superior customer service

• Ability to work independently and as part of a dynamic team, and in a fast-paced environment with a growing team

• Cultural competence and ability to communicate effectively with diverse constituencies

• Flexibility and adaptability to shifting with changing priorities. Ability to manage multiple tasks at once, with tight and shifting deadlines
