Functions and Responsibilities
Job Summary
Under the supervision of the Bursar or designee, the Busar Assistant is to assist one or more Cashier with specific bursar functions.
Supervisory Role
Oral and written instructions are received from the Bursars, or designee. Bursar Assistant may supervise student workers.
Duties & Responsibilities
1.BILLING
a) Review all bills placed in the agency files for accuracy. Assist in preparing invoices to the various agencies recording all invoices in the agency record book, keypunching amounts into the system, typing billing material to be forward to the agency. Record all payments received in the mail to the agency record book. Send payment reminder letters to agencies who are overdue in payment.
b) Process chargeback forms which cover partial student tuition payment. Type billing invoices and forward to the designated counties.
c) Assist the Bursar with the processing of all waivers. (Presidential, Employee Special Programs, Senior Citizen, Veterans Administration etc.)
2.STUDENT EXIT INTERVIEWS
a) Under the direction of the Bursar, or designee, conduct clearance interviews with all exiting students who received guaranteed student loans.
3.CASHIER
a) As assigned by the Bursar to assist the cashiers. During a specified time scheduled daily, perform functions as Cashier
b) Collect payments for students registering for credit and non-credit courses, Day care and Health Services, Fees, Transcripts, bad checks, Graduation and department materials.
c) Prepare journals of daily cash activities, assigning correct account number to each transaction. Provide Bursar's office file with payment, cash register tape and deposit records.
d) Batch and Keypunch all payments into the computer terminal.
e) Count Cafeteria and bookstore deposits, count cash received and complete deposit slips.
f) Take deposits to the Bank
g) Make copies of all checks ( except Students) and record in check register.
h) Log all deposits in the Deposit Journal
i) Process admissions applications deposits, count checks and money orders received to prove submittals. Complete deposit slip.
j) Research Transcript Applications submitted by Registrar's office, ensuring that all financial obligations are met by each student before processing application.
k) Submit listing of bills to be regenerated to Computer Services. Process and forward to students when resubmitted.
l) Coordinate and process all non-credit registration payments
m) Perform other duties and related functions as assigned by the Bursar.

Additional Requirements
Minimum Qualifications
Experience (number of years), Knowledge and/or Abilities
1. High School diploma or equivalent.
2. Working Knowledge of math, office practices and procedures.
3. Ability to understand and carry out oral and written instructions.
4. Ability to meet the public well and to deal effectively with questions or problems, giving assistance when needed.
5. Ability to establish and maintain effective working relationships with co-workers and employees and officials in other departments.
6. Ability to communicate effectively, orally and in writing.
7. Excellent interpersonal skills.
8. Ability to work in a multi-cultural environment.
9. Ability to work independently with minimum supervision
Education Requirements
