What is a Branch Administrative Assistant?
The Branch Administrative Assistant is responsible for overall front office activities, coordination of vendors for onsite repairs, cleaning, and maintenance, and providing general administrative support for the entire office. You may also be responsible for multiple branch offices.
In this role, you will:
Daily Duties:
- Process rental tickets, transfers, repair tickets, processes orders, and creates purchase orders for the branch or multiple branch offices
- Answer the phone and greet visitors and guests in a professional manner
- Perform other duties as assigned
Other Duties as needed:
- Manage the reception area to ensure effective telephone and email communication, both internally and externally and to maintain a professional image
- Assist all employees, in the branch, with questions and other administrative duties to ensure branch office runs efficiently
- Assist with the onboarding of new hires including, but not limited to, E-Verify and I9 processing
- Distribute incoming mail and prepare outgoing mail
- Supervise the maintenance of office areas and equipment repair, as well as layout, arrangement, and housekeeping of office facilities
- Purchase office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions
- Assist with special projects
Required and Preferred Abilities:
- Proficiency with MS Word and Excel
- Strong organizational and time management skills
- Excellent verbal and written communication abilities
- Previous experience working with an oil and gas service company or in a shop environment
Work Environment and Physical Requirements:
- This job operates in the office of an oil and gas service company and shop environment
- Routinely use standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines
- Required to talk, hear, and frequently required to stand, walk, use hands and fingers to handle or feel, and reach with hands and arms
- Occasionally lift office products and supplies, up to 20 pounds
Education and/or Experience:
- HS Diploma or equivalent
- One to two years’ experience in office administration
