Bookkeeping
- Performs weekly payroll and Federal tax filing
- Performs accounts receivable (A/R) functions including processing invoices and recordkeeping
- Performs accounts payable (A/P) functions including timely payment of bills and recordkeeping
- Prepares job contracts and sends to clients for signature(s)
- Reconciles bank accounts and credit card statements
Administrative Roles
- Provides administrative assistance to the owner as required
- Reads and routes incoming mail on a daily basis
- Maintains the general liability, auto, worker’s compensation and health insurance policies as needed
- Oversees inventory of office supplies, responsible for requisition of office supplies and warehouse supplies
- Manages human resources functions, such as administrative duties of new employee forms and documentation
- Administers employee benefits including paid time off, health insurance, and IRA plan
- Maintains filing system for the business, paper files and computer files
Education, Experience, and Skills Required
- Minimum of 3 years of QuickBooks experience
- General knowledge of human resources processes and requirements
- Knowledge of general office procedures and competency with office equipment: computer, copier, etc.
- Proficient with MS Office Suite, especially Word and Excel
- Knowledge of Trello would be a plus
Office manager responsibilities
- Organized procedures and systems for office personnel and client records including filing, billing, accounts payable, payroll
- Detailed reporting of project phase, duration and expenses; creation of new reports for owner upon request
- Customer communications for all invoicing and payment. Follow-up on payment or contract extension. Answer questions and create a great customer experience
- Office administration including utilities, insurance, banking deposits, proficient office equipment upkeep & troubleshooting
- Expect to learn current processes, evaluate and create well defined success metrics, analysis and improvement plans that speed up and reduce cost of operations
- Accountable for finance management including employee spending, monthly account reconciling, records retention. Approval process for new equipment requests
- Analyze operational spend & identify trends and opportunities for financial leverage
- Ensure compliance with financial, purchasing, safety and other company guidelines & policies
- Skills and experience of the ideal candidate
- 5+ years office management experience with heavy finance/budget accountability
- Associate degree required (B.A. or B.S. preferred)
- Strong organizational & interpersonal skills, written and verbal communications
- Strong problem solving skill and proven ability to develop, monitor and deliver on timelines
- Proficiency in Microsoft Office suite and Quickbooks
- Handles customer interactions with professionalism and grace. Demonstrated ability to handle difficult conversations and diffuse situations.
