Job Description

The position of bookkeeping and clerk consists of performing any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining financial records.

Bookkeeper Duties:

1.     Check figures, postings, and documents for correct entry, accuracy, and proper codes;

2.     Classify, record, and summarize numerical and financial data to compile and keep financial records, using journals and ledgers or computers;

3.     Code documents according to company procedures;

4.     Compile statistical, financial, accounting and tables pertaining to such matters as cash receipts, expenditures, accounts payable and receivable, and profits and losses;

5.     Comply with federal, state, and company policies, procedures, and regulations;

6.     Debit, credit, and total accounts on computer spreadsheets and databases using specialized accounting software;

7.     Operate 10-key calculators, typewriters, and copy machines to perform calculations and produce documents;

8.     Operate computers programmed with accounting software to record, store, and analyze information;

9.     Reconcile and identify all or any discrepancies found in records.

Payroll Duties:

 1.     Processing Payroll: This is the core responsibility of a PAYROLL CLERK. They calculate employee salaries, wages, bonuses, commissions, and deductions.

2.     Timekeeping Management: Managing timekeeping systems to ensure accurate recording of employee work hours, including overtime and time off.

3.     Data Entry: Entering payroll data into the company's payroll system accurately and efficiently. This includes new hires, terminations, changes in salary, and other relevant information.

4.     Tax Compliance: Ensuring compliance with federal, state, and local tax regulations. This includes calculating and withholding income taxes, Social Security, Medicare, and other applicable taxes.

5.     Payroll Reconciliation: Reconciling payroll accounts and resolving any discrepancies or errors.

6.     Generating Reports: Generating payroll reports for management, accounting, and auditing purposes. These reports may include payroll summaries, tax reports, and employee earnings statements.

7.     Addressing Client Inquiries: Responding to client inquiries regarding payroll matters, including paycheck deductions, tax withholdings, and other payroll-related issues.

8.     Maintaining Records: Maintaining accurate and up-to-date payroll records, including employee information, tax forms, and payroll reports.

9.     Confidentiality: Maintaining confidentiality of payroll information and ensuring that sensitive employee data is handled securely and in accordance with company policies and regulations.

Competencies:

 1.     Financial Reporting: Ability to prepare accurate and timely financial statements following relevant accounting standards (e.g., GAAP, IFRS).

2.     Bookkeeping: Proficiency in maintaining financial records, including recording transactions, reconciling accounts, and managing general ledgers.

3.     Tax Compliance: Knowledge of tax laws and regulations to ensure compliance with tax obligations and optimize tax strategies for the organization.

4.     Financial Software Proficiency: Experience with accounting software (e.g., QuickBooks, SAGE, NexGen, etc.) and proficiency in using spreadsheets for financial analysis and reporting.

5.     Communication Skills: Ability to communicate financial information effectively to co-workers, clients, and 3rd parties (banks, government agencies, etc.), both orally and in writing.

6.     Attention to Detail: Strong attention to detail to ensure accuracy in financial records and reports.

7.     Time Management: Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

8.     Ethical Standards: Adherence to ethical principles and integrity in handling financial information and transactions.

9.     Dependability: Job requires being reliable, responsible, and punctual in fulfilling obligations.

Qualifications and Requirements:

1.     A minimum of 2 years of College;

2.     A minimum of 2 years of Bookkeeping & Payroll Experience;

3.     Experienced in QuickBooks (Desktop & Online)

4.     Proficient with Microsoft Office (Word, Excel, PowerPoint, etc.)
