NATIONAL MEDICAL FELLOWSHIPS, INC.
Board Liaison

One of the first diversity focused organizations in the United States, National Medical Fellowships (NMF), founded in 1946, is the nation's premier 501(c)(3) non-profit organization seeking to eliminate health care disparities by increasing the number of Black, Indigenous, and People of Color (BIPOC) physicians and other health care professions working to advance health equity.

NMF works to expand access to education in health care professions, strengthen partnerships with institutions providing this education, and increase a sense of belonging for BIPOC students by enhancing its financial, communal, and emotional support. NMF also offers resources for physicians and other providers already working in health care and seeks to increase diversity and welcome intentionally excluded communities to participate in clinical research. To ensure that clinical research findings benefit all populations, NMF works to increase the number of BIPOC researchers and investigators leading clinical trials and diversify participants in clinical research. In these ways, NMF unabashedly disrupts the systems and structures that erect barriers which impede talented and committed BIPOC students and providers from aiding communities made vulnerable by historic disinvestment and disenfranchisement.

Reporting to the CEO and President, NMF’s Board Liaison will be responsible for the management of a comprehensive portfolio of projects and processes that ensure organizational excellence and operational efficiency to help maximize NMF’s impact within its seven strategic pillars:

Responsibilities:

Reporting to the President & CEO, the Board Liaison works closely with the Board of Directors ("Board"), Board Committees, and Advisory Councils ensuring that all governance matters are managed smoothly and effectively. This role offers an excellent opportunity to participate in the operations and governance of the organization. The Board Liaison serves as the primary point of contact for the members of the Board and will support Board and the Executive Management Committee (EMC) as a methodical thinker and project manager.

Governance

  • Actively participates in coordinating the orientation of new Board Members, officers, and Committee Chairs.
  • Drafts and ensures the timely preparation, publishing, and distribution of materials (e.g., requests, agenda, schedules, notices, resolutions, etc.) for the Board and Board Committee meetings. Coordinates with other departments to provide approved content.
  • Maintains the Board Portal by uploading relevant information, minutes, resolutions, etc., and ensures its accessibility by Board members.
  • Works with the Board and EC to review policies. Works with staff, legal counsel, l, and Board committee chairs to prepare required documents relating to the effective operations of Board and Committee meetings.
  • Composes and records resolutions, charter revisions, and bylaw revisions in coordination with legal counsel. Tracks documents prepared or reviewed by legal counsel.
  • Organizes, maintains, tracks, and safeguards all files related to Board governance and Advisory Councils, including, but not limited to, Board meeting and Committee minutes, litigation, resolutions, ordinances, agenda, historical board information, approved policies, and activities, in accordance with bylaws, procedures and record retention policies. Ensures these materials are available internally and externally as appropriate.
  • Conducts research and analyzes documents and prepares recommendations related to Board and Executive office activities. Initiates changes to Board of Director policies, and procedures as required or requested.
  • Supports the research on best practices in philanthropic governance.

Board Support

  • Orchestrates the Board and Board Committee calendars; helps determine and plan the frequency of meetings. Manages complex calendars and coordinates travel arrangements, coordination for meetings, conferences, retreats, and site visits for Board members. Takes notes and summarizes key points discussed at these events.
  • Oversees the preparation of expense reports for Board members and approves them in accordance with policy.
  • Attends and schedules telephone calls and Board meetings, as required or requested, and records and authors official minutes. Oversees coordination and materials.
  • Oversees contractors, vendors, and consultants supporting a wide range of Board activities. Collaborates with the Office of Operations to ensure all contracts are reviewed and authorized by the controller’s office and uploaded for payment.
  • Plans and manages events and logistics for Board-related events, including the annual Board retreat, venue, meals, travel, etc.
  • Coordinates internal and external presentations and speakers for Board-related events.
  • Analyzes and tracks information and follow-up items utilizing various databases and spreadsheets; generates applicable reports and documents.

Qualifications

  • 5+ years of professional experience in one or more of the following functional areas:
  • Executive Assistant/Board of Directors support
  • Program administration and/or project management
  • Operations or governance of nonprofit organizations
  • Major event planning and coordination
  • Advanced personal interaction/communications skills (written and verbal).
  • Results/action-oriented work style; strong strategic, analytical, planning, and critical thinking skills; able to successfully navigate within varying degrees of ambiguity in a fast-paced environment.
  • Highly proficient with office technology and a variety of business applications.
  • Unquestionable personal code of ethics, integrity, and trust; ability to manage highly confidential information.
  • Intuitive mindset, creative aptitude, and effective use of discretion and independent judgment; able to look beyond the assigned task and consider tangential and collateral connections, problems, opportunities, and possibilities.
  • Ability to travel periodically throughout the year and to the Alexandria office, to visit sites for the annual Board retreat, and convenings.
  • Candidates selected to move forward will be required to submit a writing sample.
