OPPORTUNITY
We are seeking a detail-oriented and proactive Billing and Subscription Coordinator to join our dynamic team. The successful candidate will be responsible for expertly managing and overseeing payment processing systems, such as Stripe and QuickBooks. As a Billing and
Subscription Coordinator, you will play a crucial role in ensuring the efficiency of payment recovery, maintaining accurate records, and supporting the retention efforts for our valued members.

RESPONSIBILITIES
As Billing and Subscription Coordinator, you will be responsible for:

● Expert management and oversight of Stripe, QuickBooks and other payment processing systems.

● Proactively identify, troubleshoot, and resolve payment issues, enhancing the efficiency of payment recovery

● Maintain accurate records of membership payments, renewals, and adjustments.
● Collaborate with Member Experience to support retention efforts for members considering cancellation.
● Implement and refine strategies to minimize payment delinquencies and maximize recovery rates.
● Support Sales team answering questions and following up with members

● Replying to failed payment emails within a given timeframe on behalf of the Finance team

● Managing cancellations and corrections within a timely manner
● Offer timely and effective solutions to billing-related customer inquiries and complaints.
● Identifying accounts with overdue payments and keeping records of the amount owed and the length of the delinquency
● Identify and process membership renewals
● Locating delinquent accounts and contacting them via phone or mail to address their overdue payments and determine the reason for the outstanding payment.
● Communicating with the member experience / finance department to maintain accurate and updated information on members accounts and payments.
● Communicating to Member Experience whether or not a member is considered ‘At-Risk’
● Processing member payments, subscription adjustments and member refunds where appropriate.
● Maintain records of contacts and attempted contacts with delinquent members as well as records of any payments collected from the customer.
● Resolve customer issues and complaints concerning billing.
● Liaise with the Member Experience Department when a delinquent member hits the

30-day mark without collecting payment.

ABOUT YOU
To thrive in this role, you should possess:

● High School Diploma or equivalent experience (US)
● Strong listening skills
● Excellent communication skills, both written and over the phone
● Demonstrated customer service excellence
● Effective negotiating skills with a patient and stress-resistant approach
● Proven problem-solving and critical thinking abilities
● Proficient in using Stripe and/or similar payment apps; experience with Baremetrics is desired
● Have a basic understanding of bookkeeping
● Meticulous attention to detail
