Job Description:
Purpose: To support the Benefits Manager in the full-cycle administration of employee benefit programs; and support in the creation of the needed system configurations.
Location: Remote eligible in: Santa Fe, NM; Las Vegas, NV; Denver, CO; Dallas/Houston, TX.
Compensation: The salary range for this position is $59,000 - $85,000. Compensation may vary based upon location and experience.
Deadline: The deadline for submitting applications for this position is March 5, 2024. Meow Wolf reserves the right to extend this deadline if needed.
Under the direction of the Benefits Manager, the Benefits Specialistis responsible for the day to day administration of employee benefits programs and employee perks, ensuring exceptional customer service for our employees and that programs meet federal, state and local regulatory requirements. The Benefits Specialist must be proficient in communicating complex benefit programs to employees through multiple channels, such as, one on one guidance, employee training programs and technology resources. Knowledge of regulatory benefit requirements is essential. This position will also act as the Benefits Administrator in Workday.
As the Benefits Specialist, you are a steward of ethics and discretion in handling sensitive and confidential information. Solid communication and exceptional follow through are essential in addressing benefit related issues and responding to employee queries in a timely manner.
How you will do it…
  • Ensure that all new hires are educated in Meow Wolf’s employee benefits and perks programs through assistance with the development of employee communications.
  • Responds to all employee and dependent benefit inquiries.
  • Research issues and respond with an accurate and timely resolution.
  • Administer employee perks programs.
  • Maintenance of the Workday employee benefits business processes and associated documentation. Ensure that all plan documents and materials are updated and compliant.
  • Troubleshooting, researching and resolving Workday issues related to benefits administration, including review and testing of configuration
  • Partner with the Benefits Manager on setting up any new carrier integrations with Workday. Acts as first responder to any integration warnings.
  • Ensure that all new hires and transfers are enrolled in benefits plans in a timely manner, meeting plan deadlines. This includes medical, dental, vision, Life/AD&D, (Evidence of Insurability as applicable), LTD, 401(k) and other voluntary benefits.
  • Responsible for the processing and approving of all qualifying life events (QLE’s). Communicates requirements to employees, tracks all documentation, makes sure enrollment is completed in Workday and sent on to various carriers. Maintains proper documentation of QLE’s for tracking purposes.
  • Ensures that all benefit deductions and employer earnings are accurate for each payroll cycle. This entails tracking of benefit enrollment changes and auditing payroll results.
  • Responsible for COBRA administration that is compliant with federal law. This includes working with our COBRA vendor to ensure new hire initial notices are sent and that terminated or employees who become non-benefit eligible receive proper COBRA notification and enrollment.
  • Manages and maintains ACA (Affordable Care Act) function in Workday to ensure accuracy and compliance.
  • Approves/processes all action items in Workday as the Benefits Partner.
  • Process 401(K) eligibility and contribution changes on a bi-weekly basis, and provides support for 401(k) Funding within the recordkeeping system.
  • Create employee communications and standard operating procedures, such as benefits tips and Open Enrollment materials.
  • Process all benefit invoices in a timely manner. Audits invoices for accuracy and communicates with carriers with any discrepancies.
  • Submit other relevant expenses to Accounts Payable.
  • Assist in annual Open Enrollment with marketing, scheduling of meetings, employee resources, vendor meetings and Open Enrollment planning analysis.
  • Execute a variety of administrative tasks, including, but not limited to, managing correspondence (ie. completing employer statements for disability claims in partnership with HR), e-filing, monitoring enrollment activities, data entry, contact management, meeting agendas and notes.
  • Special projects as assigned.
  • Other duties as assigned.
To be successful in this role…
  • You are knowledgeable in complex benefits administration and compliance across federal, state and local regulations; ACA, ERISA, COBRA, ADA, etc.
  • You must be extremely detail-oriented as benefits strategies and compliance are highly technical in nature, and the work involves a considerable amount of research and the interpretation of data.
  • You are able to comprehend complex instructions, professional correspondence, and memos and communicate with clear and concise written responses.
  • Ability to effectively present information to small and large audiences as well as deliver instructions furnished in written, oral, or diagram form.
What you will bring…
  • BA or BS in Human Resources, Communications, Psychology or other related degree preferred.
  • Excellent interpersonal skills, written and oral communication skills, organizational as well as creative thinking.
  • Excellent administrative skills.
  • 2+ years of experience administering full-cycle employee benefits.
  • 2+ years of experience in benefits system administration or other HRIS administration, preferably in Workday.
  • Previous experience in Human Resources strongly preferred.
Essential tools to set you up for success…
  • You will meticulously maintain the company HRIS employee benefits portal, ensuring that all plan documents and materials are updated and compliant.
  • You will use Excel and create formulas and build pivot tables in order to analyze benefit enrollment data and trends.
  • You will use Microsoft Word and PowerPoint in presenting information.
  • You will use Google Suite to create calendar meetings as well as track, analyze, and share data-centric updates with internal stakeholders across time zones.
  • You will use Zoom as our primary video conferencing platform to set up meetings.
Work environment & physical demands…
  • This position is remote friendly and a company laptop will be provided.
  • This is a full-time position averaging 40 hours a week, Monday to Friday -occasionally requiring flexibility to work during weekends based on business needs.
  • Some travel may be required for this position.
  • Supervision is not required for this role.
