Primary Purpose of the Position:
The Administrative Specialist II primarily serves as the liaison between the Battleship Executive Director and the Battleship NORTH CAROLINA Commission to carry out legal obligations such as completing ethics training, posting public meeting announcements and preparing meeting minutes. Secondary responsibilities include serving as the Battleship HR liaison to DNCR-HR preparing job advertisements, new hire packages, separations, and all other HR functions. Tertiary responsibilities include general office management, ensuring all office
equipment is functional, stocked, and that all staff have the resources they need to maintain efficient and productive operations.
Key Responsibilities:
  • Serve as the liaison between the Battleship Executive Director and the Battleship Commission.
  • Track mandated training requirements for the Battleship Commissions such as ethics training.
  • Organize Commission meetings to include preparing public notices, minutes, agendas, briefings, and motions.
  • Serve as the liaison between the Battleship and DNCR HR preparing all new hire and separation packages. Stay current on all HR forms and processes and maintain communications with DNCR HR technicians.
  • Serve as the front office manager ensuring all office equipment such as copiers, printers, fax, phones, etc. are operational.
  • Maintain inventories of office supplies including paper and cleaning supplies.
  • Must have strong verbal communication skills at the executive management level.
  • Must be able to draft executive correspondence in a clear, concise, and grammatically correct.
  • Must be able to focus on verbal and written communications and properly respond to detailed tasking.
  • Must have strong time management skills and be able to meet deadlines.
  • Must be able to manage a wide range of administrative projects, some requiring research and acquired knowledge to complete.
  • Have the ability to multi-task and gain knowledge to overcome unique challenges.
Division Description:
The USS NORTH CAROLINA Battleship Memorial is the State's memorial to over 11,000 North Carolinians who died in service in WWII, as well as a top tourist destination, and center of education. The Memorial operates as an enterprise of the state and receives no appropriations to operate.

Qualified candidates must have or be able to:
  1. Demonstrated experience as an executive assistant and/or office manager.
  2. Demonstrated experience in Human Resources and/or personnel functions.
  3. Demonstrated knowledge of MS Office such as Outlook, Word and Excel.
Physical Requirements:
  1. Must be able to traverse steep stairs enroute to assigned workspace and work in cramped spaces.

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience.
