POSITION DESCRIPTION

COUNTY OF BARTHOLOMEW, INDIANA

POSITION: Second Deputy

DEPARTMENT: Clerk

WORK SCHEDULE: 8:00 a.m. – 5:00 p.m., M-F

Incumbent serves as Second Deputy for the Child Support Division of the

Bartholomew County Clerk’s Office, responsible for processing court records, processing support payments, and assisting the public as needed.

DUTIES:

Records court paperwork received, including entering computer information, maintaining related files, and recording and updating computer records for filings, orders, and other court actions.

Greets office visitors, providing information and assistance and/or directing visitors to appropriate individual or department.

Performs a variety of clerical duties, including, but not limited to, maintaining relevant files and records, receipting bonds from Sheriff’s Department, typing and preparing certified mail, providing copies to the public, accepting and receipting payments, filing court documents, and preparing files for new court cases as needed.

Assist the public with marriage licenses, completing appropriate forms and applications, verifying information, collecting and receipting fees, and forwarding formed and returned applications to appropriate persons/agencies.

Assists with elections operations as needed.

Performs duties of co-workers in their absence or as required to maintain continual public service and department operations.

Performs related duties as assigned.

JOB REQUIREMENTS AND DIFFICULTY OF WORK (INCLUDING BUT NOT LIMITED

TO):

High School diploma or GED

Thorough knowledge of standard practices, policies, and legal requirements governing support payments and disbursements, with ability to effectively administer Division operations, assure proper maintenance of records and files, and resolve problems as needed.

Knowledge of court-related operations and requirements in other government and social agencies, with ability to coordinate procedures and request, provide, and verify information accordingly.

Knowledge of standard English grammar, spelling and punctuation, and ability to provide detailed reports as required.

Ability to supervise assigned operations and personnel, including training, making work assignments, reviewing completed work, and providing corrective instruction as needed.

Ability to effectively communicate with co-workers, other County departments, personnel from other government and social agencies, and members of the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.

Ability to provide public access to or maintain confidentiality of department information and records according to State requirements.

Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to work alone and with others in a team environment.

Ability to operate standard office equipment, such as telephone, copier, adding machine, cash register, postage machine, and computer terminal and printer.

Ability to work on several tasks at the same time, and effectively complete duties amidst frequent distractions, interruptions, and service to the public.

Ability to understand, memorize, and retain, and carry out written or oral instructions, and present findings in oral or written form.

Possession of a valid Indiana driver’s license and a demonstrated safe driving record.

RESPONSIBILITY:

Incumbent performs duties of the Second Deputy for the Bartholomew County Clerk’s Office, exercising judgement to assure accurate processing of support payments, and resolve related problems and discrepancies. Errors in incumbent’s work are generally prevented or detected through standard bookkeeping, procedural safeguards, and notification from other departments, agencies, or the public. Undetected errors usually result in inconvenience to other agencies and members of the public. Incumbent works within a flexible, customary routine of duties, determining work priorities in accordance with the service needs of the public. Incumbent’s work is reviewed periodically to assure completeness, compliance with applicable policies and legal requirements, and continuing maintenance of assigned operations.

PERSONAL WORK RELATIONSHIPS:

Incumbent maintains communication with co-workers, other County departments, personnel from other government and social agencies, and members of the public for purposes of coordinating services, processing payments, and requesting, providing, and verifying related information

Incumbent reports directly to the Clerk.

PHYSICAL EFFORT AND ENVIRONMENT:

Incumbent performs duties in a standard office environment and/or service counter, involving sitting/walking at will, sitting/standing for long periods, lifting/carrying objects weighing 25-50 pounds, bending, reaching, crouching/kneeling, keyboarding, speaking clearly, and hearing sounds/communication.

Pay: From $21.24 per hour

Expected hours: 40 per week
