Foster Garvey PC, one of the Pacific Northwest's leading law firms, is looking for a Bankruptcy Legal Practice Assistant. The Bankruptcy Legal Practice Assistant assists attorneys with producing, organizing, and maintaining bankruptcy documents and evidentiary materials, assists in preparation of proofs of claim and pleadings for bankruptcy cases, and preparation for depositions and trials. The Legal Practice Assistant's duties also include proofreading/editing/drafting of correspondence, memos, and legal documents, and providing a court-ready final or client- ready final for attorney's review, project work, transcription, as well as a variety of administrative duties including telephone contact, e-mail correspondence, mail distribution, travel arrangements, file maintenance, calendaring, project coordination, binder assembly, and general clerical tasks.

This is a full-time, non-exempt position.

RESPONSIBILITIES:

  • Formats, drafts, proofreads, and edits documents, reports, pleadings, filings, and all correspondence from draft to client or court-ready final.
  • Manages all legal documentation and correspondence in strict confidence.
  • Consistently meets deadlines through effective coordination of legal work through word processing, editing, communications, and messenger services for the prompt production and accurate delivery or filing of documents.
  • Manages the docketing calendar and ensures adherence to deadlines.
  • Handles incoming and outgoing mail and facsimiles, date stamps, and distributes promptly upon receipt throughout the day.
  • Communicates via e-mail and telephone with court staff, opposing counsel and clients.
  • Edits attorney time records through established firm systems ensuring accuracy of input. Assists the billing process by reviewing WIPS and final statements, flagging and working with the attorneys and Accounting to ensure resolution of any inaccuracies.
  • Assists attorneys with management of their calendars, including proactive coordination with the attorney in advance of commitments and deadlines by using automated calendar management tools. Provides prompt communication with attorneys and clients regarding any scheduling conflicts.
  • Plans and coordinates domestic and international travel arrangements.
  • Assists with coordination of large internal and external meetings, conferences and events.
  • Responsible for timely submission of expenses for payment, assigning appropriate account numbers and/or client numbers in accordance with established firm systems.
  • Proven ability to prioritize and multi-task in a fast-paced, high-volume office environment with competing demands.
  • Produce high quality written work product and demonstrate strong communication, organizational, analytical, and problem-solving skills with keen attention to detail.
  • Ability to meet assigned deadlines and to report case progress/status/issues to attorneys
  • Caseload management, including the coordination of multiple cases in federal and state courts in Oregon, Washington and Idaho, tracking thestatus of filings and documents needed for filings, and monitoring case statuses.
  • Demonstrate flexibility and initiative regarding assignments for self and team.
  • Maintain and update client records using an online case management system.
  • Consistent and punctual attendance.
  • Other duties as assigned.

QUALIFICATIONS:

  • Strong familiarity with bankruptcy rules, procedures, processes, and forms.
  • Experience with ECF filing in state, federal, and bankruptcy courts.
  • Experience filing in both Oregon and Washington courts desirable.
  • Computer skills and knowledge of litigation management software, e.g. Relativity, Excel, and other spreadsheet programs, etc. desirable.
  • Excellent verbal, written, and interpersonal communication skills.
  • Proficiency with MS Office.
  • Exercise initiative in setting priorities and meeting deadlines.
  • Excellent online research skills.
  • Organized and detail orientated.
  • Strong problem-solving skills.

EDUCATION:

  • Bachelor's Degree preferred
  • ABA Paralegal Certification or commensurate experience
  • Minimum of 3-5 years of legal assistant and/or paralegal experience

JOB CONDITIONS

May occasionally be required to work weekends and/or holidays as needed. Must be available to work overtime as workload demands and/or issues require timely resolution. Flexibility in daily work schedule around breaks and lunch period due to need and the requirements of situation at hand is usually necessary. Occasional travel on firm business may be necessary. The Bankruptcy Legal Practice Assistant works in an office environment under artificial lighting and moderate noise.

SALARY RANGE

The pay range for this position is $64,000-$85,000 annually; however, actual pay may vary depending on the candidate's education, training, experience, location, and other job-related factors permitted by law.
