Back Office Coordinator, Hill Vision Services, Lake St. Louis, MO
Hill Vision Services - we are a busy Ophthalmology practice with offices in the Glen Carbon, IL, Lake St. Louis and Creve Coeur, MO areas. Our team members are the backbone of our practice and are the ones who make the patient experience an amazing one!
We have an immediate opening for Back Office Coordinator in our Lake St. Louis, MO office. This position is responsible for providing the highest level of communication and service to all patients, surgeons, affiliate staff, managers, and colleagues.

General Responsibilities
- Telephone management
- Scheduling of appointments
- Responsible for telephone and call direction
- Responsible for retrieval of messages
- Additional office equipment management
- Coordinate, log, and report repairs needed for computers, copy, fax machines
- Medical Records
- Route all medical records requests from patients or attorneys to the director of medical records for authorization and direction
- Scheduling Responsibilities
- Chart creation/assembly
- Demographics and data entry
- Spot-check patient demographic data entry
- Log errors to identify patterns and trends
- Billing Responsibilities - balancing the daily payment log in preparation of sending to the home office.
- Ensure that all fees were collected, particularly add-on cases
Requirements
MINIMUM QUALIFICATIONS
Education and Experience:
- High school diploma or GED required
- Stable work history in a medical/surgical practice for at least 5 years and a strong insurance background
- Demonstrated ability to work in a team environment and mentor employees
- Ability to perform and cover for each administrative job manager supervises
ESSENTIAL SKILLS AND ABILITIES
- Must have proficient computer skills
- Must be able to answer calls in a friendly and enthusiastic manner
- Must be able to properly triage patient calls
- Must be able to handle multiple projects at one time accurately and efficiently
- Must be able to problem solve
- Must be detailed oriented
- Must have excellent communication skills, proper grammar and writing capability
- Must be team-oriented
- Must be self-directed, highly motivated, able to multi-task, work under pressure in a fast-paced environment

- Must have exceptional interpersonal skills
- Must possess a caring, patient, and friendly attitude
- Must be familiar with all forms associated with the patient’s medical record (paper / electronic)
