Job description

As a manager, the Back Office Operations Manager is responsible for effectively leading an engaged team of valuable Credit Union 1 employees. Managers must uphold all CU1 values and strategic initiatives, and support employees in the effective execution of their job roles, leading a culture of excellence and accountability. Mangers are required to provide quarterly Performance Management reviews, following the Performance Management process.
ESSENTIAL JOB FUNCTIONS:

  • Supervises, trains, develops, reviews work and motivates staff in order to meet the credit unions financial, reporting, and regulatory requirements, providing consistently excellent service and support to operations, and protecting the credit union's assets.
  • Directs and assists Back Office Operations with operational issues (procedural questions, exception handling, etc.) and training and serves as backup for their responsibilities
  • Manages the credit union's payment systems, including RDC, Check 21, Wires, and ACH. Uses knowledge and experience to seek process improvements and efficiencies. Creates a culture within the department that balances efficiencies and potential risk, such as payments fraud.
  • Assists the other departments within the Credit Union by communicating with members and/or staff to explain and/or resolve complex or unusual problems related to member accounting (ACH, payrolls, share draft, wires, ITM/ATM processing and check 21).
  • Sets goals and monitors and reports the status. Monitors department standards and works with employees to develop goals consistent with short and long-term credit union and department plans.
  • Coordinates Back Office Operations functions including the annual Permanent Fund Dividend project.
  • Maintains working knowledge all applicable regulations including Regulation E, Regulation D, and the National Automated Clearing House Association (NACHA) rules. Makes recommendations to the Director of Operation concerning necessary changes to credit union policy and procedures to comply with regulatory changes.
  • Assists staff in the initiation of pre-authorized wires and in the verification of non-preauthorized wires. Responsible for staff's transactions on the Fedline.
  • Responsible for monitoring and managing the internal control processes within the department to ensure the appropriate segregation of duties, dual control and other internal controls are in place and operating effectively.
  • Works with Internal Operations Manager to develop procedures, training material and communication updates for credit union staff related to Back Office Operations

ADDITIONAL RESPONSIBILITIES:
  • Projects a positive attitude with members and employees consistent with Credit Union 1's mission and core values to maintain and contribute to a high level of member service.
  • Adheres to the credit union's dress code policy and enforces this policy throughout the department.
  • Community service is required of all management staff. While some may occur during work hours with the permission of the Chief Retail Officer, some may also occur outside of normal working hours.
  • Responsible for department's participation in every aspect of the Record Retention program. This includes the creation, identification, use, storage, and destruction in accordance with the policy.
  • Completes other responsibilities and special projects as assigned by the Chief Retail Officer based on the needs of the department.

QUALIFICATIONS:
  • Bachelor's degree in Accounting or equivalent experience in Business, Management or related field
  • 5+ years of experience in management, with a demonstrated focus on leadership, preferably in a financial institution
  • The Accredited ACH Professional (AAP) accreditation is preferred; however, progressive knowledge and expertise regarding ACH and work toward accreditation may be accepted
  • Strong knowledge of departmental functions, processes, and technologies
  • Excellent interpersonal and communication skills, with the ability to effectively lead and mentor team members
  • Proven ability to develop and implement strategies that align with organizational goals
  • Strong analytical and problem-solving skills, with the ability to identify and recommend process improvements
  • Ability to effectively manage projects and prioritize tasks in a dynamic environment
  • Experience with performance evaluation processes, employee development, and addressing employee concerns
  • Ability to work collaboratively and build relationships with other departments and stakeholders
  • Strong organizational, planning and delegation skills, with a keen attention to detail
  • Understanding of industry regulations and compliance requirements for the department
  • Familiarity with technology relevant to the department's operations and the ability to learn new technology quickly
  • Responsible for abiding and complying with the policy for compliance with the Bank Secrecy Act and anti-money laundering laws and regulations (BSA/AML) and the policy for compliance with office of foreign assets control laws and regulations (OFAC)
