Automotive Title Clerk
Overview:
We are seeking a detail-oriented and organized individual to join our team as a Title Clerk. As a Title Clerk, you will be responsible for assisting with the processing of Automotive Titles and ensuring accurate documentation. This is an important role that requires strong customer service skills, research abilities, and knowledge as it pertains to legal transfer documents for PA/NJ DMV.
Duties:
Prepare tax and title documents, submit all legal transfer documents to the NJ DMV.
Within 10 days from delivery, complete the title work on each vehicle sold and send it to the DMV; follow up with banks if you have not received a payoff title within 20 days to check on status
Verify trade-in vehicles have the following information included: title, lien release, copy of registration or power of attorney, and odometer statement. Record in discrepancy log if a vehicle is obtained without a clear title, a copy registration and/or signed odometer statement; update log as issues are resolved
Correct problems and rejects from the state as quickly as possible.
Maintain a file of all titles for vehicles in inventory; maintain a file for registration paperwork for Koch Automotive Group vehicles.
Handle all inquiries regarding tag and title from customers and salespeople, providing the information needed promptly and accurately.
Process trade, payoff and p-car titles daily to ensure titles are received before vehicle is sold, file titles as received, mark deal jackets missing the title on the discrepancy log; receive titles from trade-ins once paid off
Apply for titles for all dealership Trac cars, issue plate and registration card; process on GSS as a daily rental
Maintain dealership demonstrator records; obtain signatures from personnel and record stock numbers
Maintain appropriate guarantee of state forms and dealership plates, cut checks to order plates when low
Manage charge accounts; send out applications as requested, send letters to check credit references and submit to owner for approval. If approved send out letter of approval and ask office manager to set up account in ADP
Run the Account Receivable statements and mail out monthly; monitor all accounts receivables; notify office manager when accounts fall behind. Print and fax invoices for vendors.
Print debit report from GSS and post
Submit for sales tax refunds for MV work if an overpayment was made when processing on GSS or through NJ DMV, submit for sales tax refunds on warranty cancellations
Handle refunds for parts received by check request; ensure part slip is closed and cut check
Notarize titles for buybacks; keep copies of records on file. Notarize UPS forms for service inspection stickers, PA forms and PA plates
Maintain a “discrepancy log” and distribute to managers daily, adjust log as corrected deals are returned
Correspond with NE auction when we need to flip a title into our name or if a duplicate title is needed

Conduct research and gather information related to property titles
Review and verify legal documents, such as deeds and mortgages
Assist with the preparation of title reports and summaries
Collaborate with attorneys, lenders, and other parties involved in real estate transactions
Maintain accurate records and files for each title transaction
Communicate with clients to provide updates on title status and address any concerns or questions
Coordinate with county offices to obtain necessary documents and records
Utilize GIS (Geographic Information System) software to analyze property data
Pay NJ sales tax by the 20th of each month
Pay PA prepayment due by the 20th of each month
Review and reconcile the 1120 schedule and 2162 schedule; any errors found in this review must be corrected and brought to the attention of the Controller.
Run the 180-day report, BPN and Ford Inventory report for decertification’s
Look over gas report twice a month; due by the end of the month, no later than the 3rd
Mail out statements by the 10th of the month
Pay PA sales tax for service and parts
Pay tire tax by the 20th (April/July/October/January)
Pay NJ surcharge by the 20th (April/July/October/January)
Experience:
Previous experience in a similar role as a Title Clerk or related position is preferred
Strong understanding of Automotive Title law and title processing procedures
Excellent attention to detail and ability to identify discrepancies in legal documents
Proficient in conducting research and analyzing data
Exceptional customer service skills with the ability to communicate effectively with clients and colleagues
Physical Requirements:
Ability to sit in front of the computer for long periods of time
Ability to walk up and down stairs carrying light boxes
Qualifications:
High School Diploma or GED
Current PAA or AAA certificate- 2-year advance training
Ability to read and comprehend instructions and information.
Basic computer skills and experience with office equipment (i.e. adding machine, copier, fax machine, multiline phone system, printer, etc.)
Background in business and accounting
Knowledge or experience with tags, titles, licensing, power of attorney, and liens helpful
Excellent oral and written communication skills
