Association Event Manager
Accountable for planning and execution of small to medium sized meetings or management of a specific role on a large conference. Project manager for one or more clients and/or to serve as a support role to Executive Director /Senior Association Manager. Client management and reporting.
Principal Duties and Responsibilities
  • Work with, lead, and support the project/association teams and committees to ensure adherence to client and company standards
  • Work with sites department on review of venue contracts and required needs.
  • Communication with registration coordinator/manager on reports and database requirements
  • Timeline development and management
  • Oversee venue communications by managing F&B, group resume, event specifications, housing, room block, and final invoice review
  • Facilitate agenda development via call for presentations, keynote speaker procurement, speaker communications, where applicable. May require speaker management to include speaker portal setup, timeline establishment, speaker communications, data collection, and speaker travel/registration management
  • May have sponsor/exhibitor fulfillment duties including prospectus development, exhibitor/sponsor communications, general services contractor and floor plan management
  • Be solution-oriented and forward thinking when responding to client questions and providing recommendations
  • Budget development, implementation, and wrap-up report development
  • Work with Marketing department on collateral communications and development– theme, concept, design, and implementation (if budget permits).
  • Review client web-site – management of information and functionality, sometimes responsible for development
  • Supplier procurement and management of contracts to ensure quality and contractual compliance
  • Special event review, selection and management
  • Shipping coordination
  • On-site event execution to include agenda and schedule revisions, staff management, implementation of event logistics, venue and supplier management, exhibit/sponsor management, registration management and speaker management, where applicable
  • Maintain all historical data for assigned client projects
  • Survey development, analysis and delivery of data and feedback to client
  • Recommendations for improving future conferences/events
  • Contract signing authority up to (25th percentile of $$ range), with client approval
  • Facilitate and guide association volunteer committee with regular meetings and communication. Provide knowledge on hospitality standards that volunteers may not be familiar with. This can be a year-round process.
  • Other duties as assigned
MINIMUM REQUIREMENTS
  • Bachelor’s degree or equivalent experience
  • 3 years of meeting management experience including planning Association Events
  • Experience working with and/or managing committees/executive boards/volunteers a plus
  • Strong organizational skills and ability to multitask and prioritize
  • Positive attitude and ability to be self-motivated
  • Strong written and verbal communication and interpersonal skills
  • Strong leadership skills

  • Adaptability and Flexibility
  • Sound judgment
  • Strong project and team management skills
  • Experience in Microsoft applications

ESSENTIAL PHYSICAL FUNCTIONS
  • Prolonged periods of sitting at a desk and working on a computer
  • Ability to travel at least 30%
  • Ability to lift up to 30lbs
