Work hours: 8:30 a.m. - 5 p.m. (evenings/weekends as needed)

Summary:
Under the general direction of the Senior Director, the Associate Senior Director of Family Self Sufficiency is responsible for management and operations of all case management programs and services to help clients attain and maintain self-sufficiency. This involves fiscal and programmatic oversight, including budget management, staff supervision, capacity-building, grants/contract compliance, and performance management to ensure delivery of high-quality services and programs. The Associate Senior Director is responsible for day-to-day operations and overall growth and sustainability of the following programs: Emergency Financial Assistance, Project LEAP, Parish Hotline, Veronica's Boutique, and Casa Nacho.
Position Responsibilities:
Day to Day Operations

  • *Oversees day to day operations of the case management programs which involves wrap around services and referrals, improvement on self-sufficiency matrix, service plans, and all applicable goals/outcomes.
  • *Oversee case managers' caseloads, review case files, process financial assistance, and monitor progress on spend-down on applicable grants.
  • *Compliance to grant and funder guidelines for client eligibility.
  • *Monitor intake process, self-sufficiency assessment, referrals response time, and all applicable data entry associated to client demographics and services.
  • *Oversee case record reviews on a quarterly basis and quality of case files, case notes, service planning, case closures, and after care/follow up.
  • *Oversight of program areas and offices, maintain them neat and orderly.
  • *Schedule financial literacy classes, life skills classes, and other supportive services for program clients.
  • *Maintain a caseload as necessary to ensure the programs are reaching targeted outputs and outcomes.
  • *Assist with special high needs cases and referrals from stakeholders.

Administrative and Fiscal Responsibilities
  • *Develop and maintain program budget in consultation with appropriate staff members.
  • *Responsible for compliance to federal grant regulations including programmatic and fiscal oversight.
  • *Responsible for on-going monitoring of program budgets and expenses, including budget revisions when appropriate.
  • *Complete purchase requisitions in accounting software and coding of receipts in credit card platform on time and with accuracy.
  • *Ensure program compliance with policies, procedures, and performance outcomes established by funders, accrediting bodies, and Catholic Charities.
  • *Prepare performance, fiscal, and statistical reports for necessary positions, funding sources, and other external stakeholders.
  • *Prepare and monitor agency reports for program quality improvement (PQI).
  • *Ensure maintenance of confidential files and record-keeping systems.
  • *Identify, gather and analyze data relative to trends in program areas.
  • *Develop and monitor systems for efficient workflow.
  • *Prepare grant applications and implement grant-funded projects.
  • *Work with volunteer department to recruit, train, and retain interns/volunteers to help in program areas.

Supervisory Responsibilities
  • *This position is responsible for recruitment, hiring and training of all staff under their supervision and will make recommendations for termination of employees.
  • *To develop and implement employee development plans for program employees.
  • *Must ensure the completion of all required professional development assignments in a timely manner for their direct reports,
  • *Must complete all required professional development assigned in a timely manner
  • Must be sensitive to the service population's cultural and socioeconomic characteristics.
  • Adhering to safety training and protocols on a daily basis and taking precautionary measure to ensure the safety and well-being of self, others.
  • Responsible for protecting the confidentiality of any information or material obtained in the service with the organization to include but not limited to client names and information, services rendered to clients, donors names and gifts, internal and external investigations or results of any investigations, and financial information.
  • Adherence to the Code of Conduct and the Faith and Moral is mandatory.

Requirements
Minimum Qualifications:
  • Education
    • Bachelor's degree in social service field or business-related field preferred by not required.
  • Experience
    • Minimum of 4 years' experience in relevant program experience with at least 2 years of experience in leadership role.
  • License and Credentials
    • Reliable transportation
    • Valid driver license
    • Clean driving record
    • Valid vehicle insurance

Minimum Knowledge and Skills:
  • Minimum of 4 years' experience in relevant program experience with at least 2 years of experience in leadership role.
  • Extensive working knowledge of social services and customer services,
  • Experience with computer software and Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, & Publisher)
  • A solid grasp of trauma informed care and ability to problem solve.
  • Must be detail oriented, organized, self-motivated, work well independently and on a team.
  • Must have good written and verbal skills.
  • Must have good critical thinking and problem-solving skills.
  • Bilingual in English/Spanish preferred

Travel Requirements:
Travel requirements for the position includes 40% local and 0% overnight.
