About the Events Team
The Ceres Events team is responsible for planning, organizing, and executing Ceres flagship events, and supporting the execution of public in-person and virtual events throughout the year. The Events team engages with all Ceres program teams and works closely with the Communications and Marketing, Development, Operations, and DEI teams.
About the Role
This full-time Associate position offers a unique opportunity to become skilled at event planning and project management while being an integral part of the Ceres team. The Associate provides high-level administrative and project management support through planning, reporting, tracking, and assessment. The Associate coordinates internal meetings and is involved in the planning of organizational and annual events. This position offers an opportunity for an experienced, highly organized, detail oriented, self-motivated, and energetic individual to engage with staff in all program areas of Ceres and interact with external constituents.
This full-time position report to the Senior Manager, Events, and may work remotely, in the Boston, MA office or the San Francisco, CA office. Candidates must be flexible to work with employees in all US time zones.
Specific duties include but are not limited to the following:
Event Planning and Logistics Execution
  • Lead the planning and execution on several virtual and small-medium scale in-person events with guidance from the Senior Manager.
  • Manage and collaborate with programmatic teams on the implementation of planning documents and protocols and attend and/or lead planning meetings with teams (including speaker calls).
  • Assist with sourcing vendors and vendor management for in-person and hybrid events, including:
    • RFPs;
    • Audio/visual, production, design, menu selection, load-in/out;
    • Contract negotiation and tracking of expenses; and
    • Participate in site visits for events.
  • Manage registrations for in-person and virtual events as well as track and report on attendance.
  • Collaborate with Marketing and Communications team through the entirety of the events process.
  • Supports the execution of onsite logistics for in-person and hybrid events (including production).
  • Assist in the development of debrief activities and event assessments (i.e., compiling survey results, maintaining notes for future event development, and tracking attendee and speaker event metrics).
Processes and Protocols
  • Assist with the refinement and updates of processes and protocols for Ceres events to ensure success and continuity across events.
  • Support Ceres in Diversity, Equity, and Inclusion (DEI) goals by:
    • Collecting and managing data on speakers, specifically around diversity, engaging with Ceres’ events and
    • Facilitating and coordinating Events Team’s DEI trainings and activities on a quarterly basis.
  • Support the development of goals, success metrics, and general messaging for events.
    • Supports the organization and management of speaker database and research diverse speaker recruitment;
    • Support the research of new event platforms and technology, as needed, best suited to the organization’s needs;
    • Point of contact for Zoom events and supports training on technology.
Other Related Duties
  • Attend and participate in Submission Committee meetings and quarterly reviews of event submissions.
  • Supports Sr. Manager with training and mentoring interns as needed, (including onboarding, training, weekly check-ins, and providing guidance with professional development).
  • Schedules and facilitates Events Team meetings, as well as assists in the development of team retreats.
  • Manage and support Events team office hours for staff to ask any Event related questions.
  • Manage the Event Ambassador Program, to ensure continuity and success for teams supporting their virtual events and webinars, with oversight from the Events Manager.
  • Collaborate and provide training to Ceres team members, as it relates to the management of event platforms (Zoom and Bizzabo, as examples) and other event related elements, as needed.
  • Other projects as assigned.

Qualifications
  • Bachelor’s degree or commensurate experience required.
  • Minimum of two (2) years of full-time work experience supporting events and/or project management required.
  • Desire to work in a mission-driven/nonprofit environment, interest in environmental or sustainability issues a plus.
  • High level of proficiency with word-processing, spreadsheets, presentation, database, and e-mail computer applications.
  • Entrepreneurial and team-oriented spirit desired.
  • Strong organizational and time management skills, with keen attention to detail and meet deadlines in a fast-paced environment.
  • Highly developed communication skills, both written and verbal.
  • Team player that looks at problems as opportunities and is solutions oriented.
  • Ability to work pro-actively, both independently and collaboratively with a team.
  • Experience with supporting or engaging with high-level external partners or senior level staff from various backgrounds, a plus.
  • Experience with Salesforce, Zoom, Bizzabo, and other event platforms, a plus.

  • Ability to lift 25 pounds for set up, during, and for breakdown of on-site events.   • Willingness to work overtime around event’s schedule as needed.
  • Willingness to travel up to 20% annually.
Compensation and Benefits
The hiring salary is $52,183 - $58,000 with competitive benefits.
