Job description

Sponsored Research Administration (SRA) is the designated pre-award and post-award administration office for The Jackson Laboratory (JAX). The overarching mission of SRA is to provide leadership, expertise and comprehensive support to JAX’s research community and to ensure compliance with relevant regulations, from application through closeout. The SRA team assists JAX faculty and other research staff to obtain sponsored research funding, facilitates the submission of all sponsored projects proposals on behalf of JAX, negotiates and executes agreements, and assists Principal Investigators (PIs) in the administration of externally sponsored research and internal awards
Overseeing accounting financial administration and compliance for sponsored research activities, the Associate Director Sponsored Program Accounting manages a team responsible for grant accounting, billing, reporting, audit and compliance activities. Collaborating with senior leadership, this role ensures adherence to federal regulations, sponsor requirements, and institutional policies. Additionally, the Associate Director plays a key role in internal and external audits, system implementation, and staff development.
Key Responsibilities and Essential Functions
  • Directs post-award fiscal accounting activities, including account monitoring, invoicing, financial reporting, compliance and audit requirements. Manages timely and accurate award setup, billing, and reconciliation, while interpreting accounting data and providing guidance to stakeholders. Interprets and implements federal and sponsor requirements to ensure compliance.
  • Implements internal controls in line with regulations and institutional policies that are consistent with OMB Uniform Guidance and good accounting principles. Prepares documentation for audits and oversees effort reporting. Manages audit schedules and provides requested data.
  • Participates in the design, testing and management of the financial ERP and research administration modules to meet restricted fund accounting needs. Resolves system issues and identifies workflow improvements to service internal and external stakeholders.
  • Supervises grant accountants, including hiring, training, and performance management. Remains current on federal and sponsor regulations, compliance requirements and best practices to provide training and mentoring to staff and the organization's research community. Responsible for interpreting sponsor rules and implementing changes.
  • Directs the accounting activities of accountants within the SRA Accounting Office.
  • Monitors all accounts receivable and identifies "at risk" projects. Monitors and approves cost transfers.
  • Oversees timely and accurate award set-up in the financial ERP.
  • Monitors budget and revenue reconciliations. Oversees the monthly reconciliation of grant subsystems to the general ledger.
Knowledge, Skills, and Abilities
  • Bachelor’s degree in finance, accounting, or business with 6 years of relevant experience.
  • Minimum 4 years of supervisory experience.
  • Expertise in accounting principles, federal grant regulations, and ERP systems in accordance with non-profit accounting standards and federal grant regulations.
  • Strong communication, organizational, and management skills.
  • Commitment to excellence and professional growth.
  • Ability to manage multiple priorities and meet deadlines consistently.
  • Working knowledge of Uniform Guidance and demonstrated ability to lead the single audit process. Demonstrated experience in documenting and monitoring internal controls in support of the Laboratory’s Controller and auditing team.
  • Effective management and supervisory skills – communication, organization, planning, budgeting, setting goals and objectives through progressively increased responsibilities in past positions.
  • Proven ability to direct and train a team across demanding and changing deliverables; proven ability to work both independently and collaboratively with different levels of employees; ability to foster effective working relationships and build trust across a team environment.
  • Builds strong relationships, across the finance team and the broader business.
Pay Range: $111,488 - $186,656 based on total years or prior related experience
