Education:

Bachelor’s degree in Healthcare Administration, Business Administration, Operations Management, or social services related field required.

Licensure/Certification:

Valid driver’s license and auto insurance.

Experience/Skills:

Two to five years of experience in an operations or facility maintenance field, preferably in management or leadership and in a healthcare environment. Preferred experience supervising members of a multidisciplinary team. Requires Intermediate skills in Microsoft Office Suite, including Word, Excel, and Outlook email.

POSITION SUMMARY

The Associate Director of Operations is responsible for providing respectful and inclusive leadership to in the program’s service teams. This leader providers oversight of general program operations in areas including, safety management, building operations, budget, finance, licensing, and reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Other duties may be assigned according to qualification of staff and development of programs.

  • Accountable for creating and maintaining a safe work environment by providing respectful and inclusive leadership to all employees regardless of age, gender identity, sexual orientation, race, religion, or ethnic background.
  • Practice conduct that displays respect for all KVC colleagues and community stakeholders regardless of age, gender identity, sexual orientation, race, religion, or ethnicity.
  • Interview, hire, and train employees in accordance with company polices as well as federal and state employment laws.
  • Plan, assign, and direct work and appraise performance in accordance with employees’ job descriptions.
  • Maintain current knowledge of KVC’s operating systems including, but not limited to, EHR and HRIS tools.
  • Provide supervision and direction to general operations at facility.
  • Work with senior leadership to ensure the program meets budgetary goals through fiscally responsible decision making.
  • Coordinates with maintenance team to ensure follow through on maintenance workorders, completion of annual record of equipment maintenance, utility maintenance and preventative maintenance.
  • Provide oversight of facility and unit supply ordering/purchasing, maintains records, collaborating with site leadership for facility related material purchases.
  • Serves as a member of the facility’s Safety Management Committee, may Chair or Co-Chair the committee depending on location, and may serve on Agency Safety Management Committee.
  • Monitors facility for fire and life safety and environment of care, and ensures records are complete and submitted to Safety Management committee.
  • Responsible for compliance with Emergency Operations Response Plans and drills as directed by state regulatory and accrediting bodies.
  • Oversees contracted ancillary services such as Housekeeping, Maintenance, and Food Services.
  • Oversee security access control for the facility, managing all keys and swipe cards.
  • Liaise with property management firms and general contractors as needed.
  • Rotates in the on-call administration rotation as necessary and is available by phone 24 hours a day, 7 days a week to the staff when assigned the on-call responsibilities.
  • Understands local regulations, accreditation standards, KVC policy and procedure and ensures services are in compliance with all regulatory standards and contract terms and conditions.
  • Attends and participates in all scheduled meetings, consultations, and staff meetings, as required.
  • Assist with guidance, support and perspective when critical incidents happen.
  • Assist with program’s performance improvement activities.
