The Artistic Department’s Assistant to the Artistic Staff reports primarily to the Director of Artistic Administration but also provides administrative support to all full-time members of the department— the Artistic Director, Associate Artistic Director, Director of Artistic Administration and Rehearsal Planning Manager. The individual serving in this role interacts mainly with administrative staff, ballet staff, and dancers, which requires a high level of professionalism, discretion, and integrity due to frequent handling of information of a confidential or sensitive nature.
Job Responsibilities
- Provide administrative support to the Artistic Director, including managing professional and personal agenda, creating expense reports, and making travel arrangements and itineraries.
- With the Director of Artistic Administration, handles sensitive correspondence for Artistic Director.
- Produces program copy for all main company performance engagements, both in New York and on tour.
- Travels with the Company on touring engagements, both domestic and international, as needed.
- Adjusts and amends each rehearsal day’s schedule as shifts occur (informing all concerned of these changes, and marking them on posted schedules), as per the Rehearsal Planning Manager.
- Calculates overtime for all Company dancers and Artistic Staff. Compiles weekly payroll and payroll memos.
- Serves as first point of contact for main company audition applications. Coordinates auditions and answers correspondence relating to audition requests as necessary.
- Handles correspondence. Conducts follow-up on miscellaneous correspondence, drafting and composing written responses or routing letters and requests to appropriate personnel.
- With the Director of Artistic Administration and Rehearsal Planning Manager, creates and oversees the maintenance of comprehensive Artistic Department files and records.
- With the Director of Artistic Administration, handles programming and casting drafts, often of a confidential nature.
- Assists the Artistic Department with dancer relations.
- Distributes information to all departments.
- Handles phones.
- Keeps department’s contacts list up to date.
- Other duties as assigned
Essential Qualifications
- Undergraduate degree with a minimum 2 years of administrative experience required.
- Ability to operate in a network MacIntosh environment and proficiency with Microsoft Office suite required.
- Familiarity with Zoom and other video conferencing systems required.
- Interest in and knowledge of the dance world.
- Ability to handle information of a confidential or sensitive nature.
- Ability and willingness to handle tasks of all levels, to pay close attention to details, and to organize and prioritize multiple tasks and complete them in a timely manner.
- Must possess excellent telephone manner, organizational, communication, and interpersonal skills.
- Must work collaboratively and collegially across the organization interdepartmentally.
- Low-ego, hands on, result-driven style with down-to-earth, collaborative, “roll-up-your-sleeves” personality a must.
- Must be available to travel, work evening and weekend hours when required as hours and location vary with company’s schedule.
