The Assistant Director of Recruitment and Community and Engagement for Access, Diversity, and Inclusion (ADI) is a critical member of a dynamic diversity and inclusion team who serves a key role in strategizing and implementing effective recruitment, support, and community building strategies for Princeton’s diverse graduate student population. Reporting to the Associate Dean for Access, Diversity and Inclusion, in the Graduate School,  the Assistant Director of Recruitment and Community Engagement for ADI will develop, manage, and oversee programs, projects, and processes in collaboration with the other members of the ADI Team, Graduate School colleagues, stakeholders, campus partners and centers. Major responsibilities include: develop and implement Access, Diversity and Inclusion recruitment initiatives including the Prospective Ph.D. Preview (P3), campus visitations, and national conferences, strategically support the Access, Diversity and Inclusion Diversity Fellows and Affinity Organization Leadership, develop programs that support the community building needs of the underrepresented graduate student community, manage the annual endowment budget and funding opportunities for the Margaret T. Hanna Fund, oversee Access, Diversity and Inclusion team signature programs and initiatives, develop and design the bi-weekly Kaleidoscope Newsletter, coordinate communications and outreach to current and prospective graduate students, work with the ADI Coordinator to provide general administrative support to the ADI Team and signature programs and initiatives.

 

The Assistant Director of Recruitment and Community Engagement serves as the administrative point person for all of the signature programs, including the Graduate Scholars Program (GSP), The Pre-Doctoral Fellowship, The Diversity Fellows Program, and the Princeton Prospective Ph.D. Program (P3). This position will work in partnership with the ADI coordinator to support the overall goals of the ADI team.

Recruitment:

Manage, strategize, and implement the planning and logistics for Graduate School recruitment efforts including The Princeton Prospective Ph.D. Program (P3), campus visitations and collaborations (both internal and external), national conference participation, and outreach communications to prospective graduate students and leads.

 

Prospective Ph.D. Preview:

  • Manage P3 application development, outreach communication and application review.

  • Develop program content and program schedule in consultation with the ADI Team.

  • Collaborate with faculty, staff, graduate students and administrators to participate in the P3 program.

  • Serve as the primary point of contact for P3 Scholars, manage visitation logistics in collaboration with the ADI Coordinator.

  • Serve as the liaison with MolBio Scholars and EEB Scholars program managers.

Campus Visitations:

  • Strategize content and develop programs for institutional partners and national programs, such as McNair and Meyerhoff Scholars, seeking Princeton Graduate School visitations.

  • Strategize content for Princeton Graduate School external visitations such as HBCU campus visits and collaborations. 

  • Manage leads and data collection from all visitations and recruitment efforts.

  • Oversee ADI Coordinator in the logistical execution of the visitation process.   

National Conferences:

  • Strategize annual schedule for Graduate School national conference attendance such as SACNAS, ABRCMS, NSBP, NSBE, and other conferences as determined in consultation with the ADI Team.
  • Collaborate with Recruitment and Outreach Diversity Fellow to develop a recruitment guide for ADI Ambassadors (graduate student recruitment participants) and serve as the point of contact for the Outreach Fellow to oversee the process.

Outreach Communications:

  • Manage leads list and data collection of prospective graduate students collected at national conferences or as a part of national memberships and direct outreach.
  • Manage Princeton Prospective Newsletter (PPN) quarterly administration including strategic content development and communication of Princeton programs and opportunities. 

Community Engagement:

Strategize and implement programming and initiatives that support a community of historically underrepresented graduate students, including oversight and management of the Diversity Fellows Program, advisement of and collaboration with Graduate Student Affinity Organizations, collaborate on and execute programming for the Graduate Scholars Program (GSP), and develop ADI Signature community-building programs such as Cocoa and Comfort and Field Day.

 

Diversity Fellows:

  • Oversee application development and administration for ADI Diversity Fellows, review applications and interview candidates with ADI Deans.
  • Onboard fellows and manage new fellow orientation, ensuring that all fellows have proper access to any resources needed for program development and success. 

  • Manage and lead bi-weekly meetings with Diversity Fellows and ADI Team.

  • Collaborate with fellows to develop intentional community-building programs; provide support for programs as needed, manage Diversity Fellows events calendar and event advertisement process.

  • Provide general support and advisement to Diversity Fellows as needed; including but not limited to navigating resources and funding opportunities, networking and relationship building with Campus Partners, general event development and management, and recruitment opportunities.

Graduate Student Affinity Organizations:

  • Serve as the primary point of contact for affinity organizations BGC, GWCC, IQI, LGSA, and others as needed.

  • Serve as the primary point of contact for affiliated affinity organizations such as SACNAS, WSTEM Leadership Council, DACA Grads in order to determine sponsorship and collaboration opportunities.

  • Review, process, and manage (as needed) affinity organization funding, including Concur reimbursement or transaction substantiation and invoice processing.

  • Collaborate and partner on community-building events and opportunities.

  • Provide support and advisement to Affinity Organization leadership as needed; including but not limited to assisting with leadership recruitment, connecting organizations with campus partners, diversity fellows, and additional organizations for collaboration opportunities.

Graduate Scholars Program (GSP):

  • Assist with the development and execution of GSP annual programming schedule; including but not limited to program content, advertisement, and event logistics in collaboration with ADI deans and coordinators.
  • Manage all programming and communication for prospective GSP Scholars prior to admission, including info sessions and program outreach.
  • Collaborate on the strategic planning of GSP 2-day retreat; including but not limited to program development, event logistics and management, and SWAG/special gifts ordering and design.
  • Manage and review all GSP Conference Fund applications and determine appropriate awards in collaboration with ADI deans.
  • Provide support to GSP Scholars as needed; including connecting with affinity organizations, sharing funding opportunities, and connecting with ADI Team.

General Community Building:

  • Strategically develop programming to populate ADI calendar of events on an annual basis, and consider opportunities or needs for additional programming.

  • Oversee the ADI Coordinator in planning the logistics for all ADI annual programs.

  • Serve as the primary point of contact for event proposals and funding requests from Campus Partners, departments, and student organizations; process any funding as determined by the ADI Team.

  • Strategically develop program collaborations and relationships with campus partners and centers including The Carl Fields Center and The Gender and Sexuality Resources Center for the annual graduate student welcome events; expand partnerships and outreach for additional collaboration opportunities.

  • Oversee marketing, outreach and logistical needs for all ADI programs developed. 

Financial Management and Administration:

Budgeting and Financial Management:

  • Manage ADI-related expenses, track and manage fund expenditures on a semi-annual basis and develop budget projections.

  • Manage delegation of funding to Affinity Graduate Student Organizations and review organization budgets; reconcile budgets and use of funds.

  • Track and manage ADI financial sponsorships and event collaborations. 

  • Graduate Student Support Fund (GSSF):

    • Develop application form and website content, including updates and content review in collaboration with ADI deans.

    • Provide determination notification to applicants, and issue awards as determined by the dean/funding committee.

  • Hanna (6th Year) Fellowship:
    • Develop application form and website content, including updates and content review in collaboration with ADI deans.

    • Collaborate closely with Finance and Administration team to review applicant financials; review in consideration of applicant qualification.

    • Provide determination notification to applicants, and issue awards as determined by ADI deans/funding committee.

Communications:

  • Manage and develop the bi-weekly Kaleidoscope newsletter (August-May).

  • Manage and develop content for the Princeton Prospective quarterly newsletter.

  • Review outreach requests and strategically coordinate communications timing and content to URM grads.

  • Collaborate and consult on ADI website content and develop materials as needed.

General Administration:

  • Serve as liaison with and ADI coordinator

  • Oversee ADI coordinator in general maintenance of ADI calendars, scheduling, meeting agendas and general communications.

  • Delegate team assignments and responsibilities to ensure efficient team work-flow. 


The Assistant Director of Recruitment and Community and Engagement for ADI will demonstrate cultural awareness and competency skills and will experience working and communicating with and advocating for diverse populations.  This position requires thorough knowledge of all details relating to programs managed by the office, as well as discretion, tact, diplomacy, and confidence in relaying information. Ability to take initiative, work independently, and thrive in a demanding environment. Strong work ethic; meticulous attention to detail; commitment to completing work on a timely basis and at the highest level of accuracy and quality.  He/she will also plan ahead and anticipate needs while exercising flexibility and adaptability. Must have a proven successful background in decision-making processes, excellent organizational skills, and be able to multitask. Should have strategic program development experience and knowledge of the processes involved in successfully executing a purposeful program or conference.

 

Bachelor’s degree and 3-5 years of relevant experience, preferably in higher education, is required.

 

Must demonstrate the ability to exercise discretion and independent judgment needed to handle confidential information, documents and communication within the office; exceptional communication skills (both verbal and written) and interpersonal skills are required. Knowledge of Microsoft Office suite of applications (Word, PowerPoint, Excel, Outlook) required. Familiarity with databases and website management systems such as Drupal.

 

Preferred Qualifications:

  • Knowledge of funding applications such as SAFE and GPS, Slate, general Google Applications, digital marketing development applications such as Canva, Constant Contact, Photoshop, Adobe Creative Suite, and university software applications such as PeopleSoft, Prime, Concur, Service Now, EMS, My PrincetonU, Labor Accounting, TAM.
