Description:

The Frank Batten School of Leadership and Public Policy at the University of Virginia seeks applicants for a full-time Assistant Director of Grants and Contracts to join our Finance and Administration team. This position is open to in-person, remote, or hybrid work, and able to start immediately. This is a salaried position with full UVA benefits.
Working as a member of a high functioning, interactive finance team, the successful applicant will lead Batten sponsored project administration and work in a supporting capacity for other core business office priorities. In this fast-paced, exciting environment, the incumbent will have the opportunity to manage projects of varying scope and size funded by federal, state, local, and private foundation sponsors.
The Assistant Director of Grants and Contracts is charged with growing and sustaining Batten’s research portfolio. The Assistant Director will seek out new opportunities, develop proposals and proposal budgets, process proposal and award amendments, communicate with sponsors as needed, and serve as the primary contact for internal and external subcontracts and sponsors.

REQUIRED QUALIFICATIONS

  • Bachelor’s degree and at least 5 years of Grants and Contracts or related experience
  • Four additional years of experience may be accepted in lieu of degree.
  • Very high attention to detail
  • Ability to manage competing deadlines and priorities
  • Excellent written and verbal communication skills

PREFERRED QUALIFICATIONS:

  • Familiarity with Workday Financials, Huron, UBI, and other financial and grants management software
  • Familiarity with Federal grant application processes and regulations
  • Familiarity with basic accounting principles
  • Strong desire to learn new skills and abilities and to continuously improve practices
  • Certified Research Administrator (CRA) credential
    Anticipated hiring range: $85,000 – $95,000/year
    Salary is commensurate with education, experience, and ability to meet minimum qualifications as outlined above; includes UVA benefits.
    Physical Demands: This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

MINIMUM REQUIREMENTS

Education: Bachelor’s degree
Experience: Five years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree.
Licensure: Certified Research Administrator (CRA) certification is preferred.

Responsibilities:

  • Nourish an environment favorable for continued research growth.
  • In conjunction with faculty, develop robust, competitive grant proposals and budgets and shepherd through submission.
  • Manage existing portfolio of awarded sponsored programs for Batten’s research centers and academic departments.
  • Assist in core business functions of the Batten School.
  • Meet with faculty in a routine cadence to summarize actual expenditures and create financial projections.
  • Prepare annual and project closeout financial reports per sponsor guidelines.
  • Assist with monthly account certifications, and process vendor invoices, purchase orders, and cost transfers for multiple accounts. Prepare and revise school budgets as necessary.
  • Create and maintain payroll costing allocations for faculty and staff in assigned portfolios.
  • Submit grant modification requests.
  • Resolve problems through contact with Batten administrators and faculty and the UVA Office of Sponsored Programs (OSP) and recommend appropriate changes.
  • Provide technical and administrative assistance to faculty and administrators.
  • Maintain complete and accurate file information for grants in an assigned portfolio.
  • Manage the grant submission process (pre-award) including budget creation, internal review, uploading grant documentation into sponsor portals, and reviewing proposals for conformity with University, State, and Sponsor guidelines.
  • In addition to the above job responsibilities, other duties may be assigned.
