Department: Univ Athletics-Facility Oper Salary/Grade: EXS/6 Job Summary: The Assistant Director of Events and Facilities reports to a designated Associate Director or Director for Events and Facilities Management, assisting with the day-to-day operations of the event and Facilities Management unit including, but not limited to: operations, scheduling, and maintenance in assigned athletics facilities as well as coordinating and supervising various events within assigned athletics venues. This position is instrumental in achieving and carrying out our goal of providing exceptional experiences for every guest. *Willingness and ability to work nights, weekends, and holidays.

Specific Responsibilities: Responsible for recruiting and developing a strong base of temporary event employees to assist with broad-based customer service delivery at Northwestern Athletics events to include: fan services kiosks, on-site shuttle service for fans with special needs, concourse management, etc. Recruit, train, evaluate and develop temporary event staff, establishing a culture within the Temp staffing pool that aligns with the culture and values of the Department of Athletics and Recreation.

Coordinate and schedule appropriate Temp staffing for Northwestern Athletics events; responsible for approving Temp employee timecards, as needed. Responsible for the maintenance and scheduling of assigned athletics spaces. Provides a safe and welcoming environment for student-athletes, staff, faculty, and all visitors.

Performs daily walkthroughs and identifies maintenance needs. Initiates facility repair requests and monitors the quality of services provided. Serves as a secondary contact for Athletics Facilities and Operations work unit (as assigned) to external users and constituents.

Ensures building signage is updated and in good condition. Responsible for cleanliness and organization of facilities. Responsible for managing scheduling software.

Approves space requests. Manages scheduling for camps and clinics, including updating the annual summer camps calendar. Serves as game day administrator for at least 3 or up to 5 intercollegiate athletic sport programs.

Exercise discretion and judgment in the mitigation of problems and situations that arise during events (i.e. media access, visiting team accommodations, concession operations, parking, and security). Supervise security, parking and event personnel.

Collaborate with coaches and other Athletics personnel, including conference and NCAA, to assess event needs and requirements including setup and breakdown. Create brochures and packets for distribution to visiting teams and officials. Coordinate and manage non-athletics events taking place in Athletics venues, as well as post-season tournaments for respective sports.

Negotiate contracts with campus departments, event organizers, caterers, decorators, sound companies etc. Supervise event setup and breakdown. General Administration/ Other Creates standard facility tour routes and leads tours.

Develop event management manuals and establish game-day protocols to provide staff. Works directly with food services partners to manage facility issues and requests. Maintains facility management guides and checklists.

Assists with access management for assigned athletics facilities. Assists with small projects and capital projects, as needed. Leads and/or assists with setup and breakdown of various meeting spaces.

Responsible for managing A/V technology in assigned facilities. Assists with facility branding in assigned facilities. Responsible for adhering to all Department and University policies and procedures, as well as the rules, regulations, bylaws and interpretations of the Big Ten Conference and the NCAA.

Responsible for adhering to all Department and University continuing education initiatives and required certifications and trainings. Other duties as assigned. Minimum Qualifications: (Education, experience, and any other certifications or clearances) Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.

Proficient in Microsoft Office Suite Ability to lift 50-100 lbs pounds and work at heights over 20 feet above ground level. Valid driver's license. Ability to work in a diverse and fast-paced working environment.

Consistently displays accuracy and attention to detail. Knowledge of rules and regulations of the NCAA, Big Ten Conference and Northwestern University preferred Ability to work cooperatively with others and effectively interact with diverse populations. Ability to establish engaging relationships within and across racialized and other marginalized communities Preferred Qualifications/ Competencies: (Education and experience) Project management, customer service role, Experience recruiting and managing temporary workforce preferred.

Previous experience in athletics administration/facility and event operation preferred. Certified completion of National Incident Management System (NIMS) Preparedness Component modules IS 100 and IS 700 preferred. Demonstrated ability to work under adverse weather conditions preferred.

Business acumen that includes general operational processes and planning. Communicates effectively 1:1, in small groups and in public speaking events. Writes precise, well-organized emails, letters, and proposals.

Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
