Role description
Customer Service
- Respond to incoming calls/ e-mails and determine best solution to address request.
- Handle payment /ledger inquiries
- Assist with registration questions for online web portal.
- Provide guidance on approval process for remodeling projects and documents required for Board review/approval.
- Schedule move in /move outs and notify boards or maintenance contractors as required.
- Enter maintenance requests/ work orders in CINC software and close out after completion.
Community Manager Assistance
- Request quotes from contractors and assist Association Manager with coordination.
- Coordinate mailings to owners within proper timeframe per manager direction.
- Prepare and distribute all notices to homeowners as per manager direction.
- Work with maintenance staff on completion of workorder requests.
- May assist with preparation for board meetings and annual meetings.
- May attend occasional association meetings as requested by manager.
- Perform other duties as assigned.
Administrative Duties
- Ensure application of moving fees, key charges, etc. to owners’ accounts.
- Enter administrative fees as required (e-blasts, mailings, postage, etc.)
- Distribute monthly financial reports to boards.
- Process check request forms for recurring reserve transfers and maintenance contractors
- Handle insurance questionnaires, annual report filings, and other required reports.
- Handle homeowner insurance tracking if required by association.
- Ensure accuracy of homeowner records in CINC (off-site address, email, tenant info)
- Ensure approved minutes are uploaded each month.
- Track parking assignments and move-in / move-out schedules.
