Job Title: Asset and Inventory Coordinator

Department: Accounting

Reports To: Controller

FLSA Status: Non-Exempt

Pay Grade: 7

Approved By: Human Resources

Summary

Responsible for recording all costs related to the acquisition of fixed assets, tracking existing fixed assets, recording deprecation and accounting for the disposition of fixed assets in coordination with the Accounting Team.


Essential Duties and Responsibilities include the following. Other duties may be assigned.


1. Create and monitor a system of controls, procedures, and forms for the recording of fixed asset additions and disposals.

2. Tracks the compilation of project costs into capital job accounts and closes out those accounts once the related projects have been completed.

3. In coordination with the Accounting Manager, ensures all subsidiary fixed asset schedules reconcile with general ledger balances.

4. Oversees the completion of monthly reconciliation of capital purchases and provides a monthly report on capital spending to the Controller.

5. Maintains fixed asset schedule, depreciation transactions and lease files, ensuring compliance with policy and GAAP accounting.

6. Prepares and timely files property tax assessments and property tax payments for all POA common property, vehicles and personal property.

7. Maintains the Statement of Values and other asset schedules required for insurance purposes.

8. Assists Controller with insurance claims related to the repair and replacement of assets.

9. Accounts for the disposal of fixed assets whether through a sale/trade or at the end of the useful life.

10. Coordinates asset disposal auctions and the sale of any asset.

11. Facilitates annual fixed asset inventory.

12. Assists with the annual capital budgeting process.

13. Assists with gathering data and developing plans for future repairs and replacements.

14. Conducts analysis related to fixed assets as requested by the Controller.

15. Prepares audit schedules relating to fixed assets and assists the auditors with any related inquiries.

16. Assists with accounting process evaluation and makes recommendations for system, process or policy improvements.

17. Sets work ethic example, through regular and responsible attendance, in accordance with projects and financial close needs.

18. Encourages and practices cross-department collaboration, serving as a reliable and responsive support system for the fixed asset accounting needs of all departments.

Education and/or Experience

The equivalent of an associate degree in Accounting required. Bachelor’s degree in Accounting, business or a related field and a minimum 2 years general business, accounting and office experience preferred. Excellent data entry skills and intermediate MS Word and MS Excel knowledge required. Experience with Dynamics GP or other general ledger software preferred. Must be a highly motivated, self-starting individual who can use their knowledge and experience to reconcile transactions and produce required reports.


Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Ability to communicate accounting guidelines clearly to both accounting and non-accounting staff.

Mathematical Skills

Ability to identify variances and trends with accounting transactions. Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
