Job Summary:

The Accounts Payable & Purchase Order Administrator is responsible for Purchase Order administration and monitoring the outflow of capital for the company by performing a range of accounting and clerical tasks related to the accounts payable function.

Essential Functions:

  • Review Purchase Order package provided by SC including GL coding
  • Process data entry into ERP System
  • Collaborate on Purchase Order status with Procurement, Operations, Accounts Payable, and Vendors
  • Resolve all Purchase Order discrepancies, process Change Orders requests, assisting vendor’s with proper invoice submissions for each Purchase Order
  • Complete all aspects of AP operations including vendor invoice processing and matching, vendor master data administration, vendor support and inquiry resolution, and Purchase Order administration
  • Create Purchase Orders from start to finish
  • Monitor the full accounts payable cycle from submission of invoice into ERP System
  • Work closely with the business users on receipt of invoices to payment, including coaching on coding invoices, matching Purchase Orders, obtaining approval
  • Investigate and resolve problems associated with processing of receipts, invoices, and Purchase Orders
  • Receive, research, and resolve a variety of routine internal and external inquiries concerning account status; communicate the resolution of discrepancies to appropriate persons
  • Build partnerships with refinery personnel
  • Complete assignments related to internal and external audit requests
  • Meet deadlines and ensure accurate financial reporting
  • Assist in any projects and analysis requests made by management
  • Assist team with gathering support for all audits, including pulling documentation
  • Perform other related duties as assigned

Required Skills/Abilities:

  • Must be reliable and extremely trustworthy
  • Must be proficient in Microsoft Office Suite or related programs
  • Must be able to learn other accounting software systems
  • Excellent organizational skills and attention to detail
  • Ability to maintain confidential and meticulous records
  • Ability to function well in a high-paced and at times stressful environment

Supervisory Responsibilities:

None

Education and Experience:

  • High school diploma required
  • Business or Accounting degree preferred
  • Certified Accounts Payable Professional (CAPP) certification preferred

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Prolonged periods of standing and walking
  • Must be able to lift up to 15 pounds at times
  • Ability to perform repetitive movements over long periods of time
  • Requires frequent reaching, stooping, bending, kneeling, and crouching
  • Requires lifting, positioning, pushing, and/or transferring equipment and materials
