Job description

Description

The purpose of this classification is to supervise the staff and daily operations of the Daphne Animal Shelter including overseeing the intake and adoption processes; supervising the medical care of all animals in the shelter; and coordinating the volunteer and donor appeals program.

Essential Functions

  • Supervises, manages, and evaluates assigned staff through processing employee concerns and problems, directing work, counseling, disciplining, and completing employee performance appraisals; reviews and approves time entries and time off requests; ensures compliance with all city policies and procedures.
  • Ensures departmental compliance with all applicable codes, laws, rules, regulations, standards, policies and procedures; initiates any actions necessary to correct deviations or violations; ensures department adherence to established safety procedures; monitors work environment to ensure safety of employees and other individuals.
  • Coordinate operation activities with the Animal Control officer in providing care for intakes, promoting posting on social media to attempt to reunite pets and owners.
  • Ensure high-quality animal care. Oversee and participate in intake, medical care, behavioral enrichment and adoption services including the selection of animals for euthanizing. Supervise medical care decisions and negotiate veterinary services.
  • Oversee facility management and safety protocols to ensure compliance with regulations and sustaining a safe environment for animals and people. Develop and maintain the standard operating procedure handbook and all volunteer protocol/handbook.
  • Manage and expand volunteer programs. Review and approve all volunteer, foster and adoption applications. Manage and oversee foster program
  • Research and write grants, and manage donor appeals.
  • Foster good relationships with local veterinarians and animal-related businesses, as well as local news people and other community organizations. Promotes relationships with other local and national animal welfare organizations. Respond promptly and appropriately to community concerns regarding animal issues
  • Work closely with the City of Daphne Marketing Department to ensure compliance with standards. Manage online marketing including social media, email distribution and the shelter website. Identify and provide content (data, photos, stories) for fundraising /marketing projects
  • Database management through shelter software program
  • Plan and execute adoption events on a continuous basis. Create and implement community education programs
  • Consults with the Sports & Recreation Director to establish long-term and short-term goals for the department; reviews department activities, resolves problems, and receives advice/direction; reviews/recommends department staffing requirements and equipment needs; develops, presents, and implements the department budget; monitors expenditure, and ensures adherence to Finance Department standards and procedures. Oversee and approve purchases and financial reports
  • Coordinates the scheduling of independent contractors and consultants in maintenance and modifications projects; Coordinates with Facilities Department to complete building operations projects
  • Identify items that require repair and/or replacement; generate work orders for the Animal Shelter facility; serve as a liaison with Public Works Operations or outside vendors to schedule maintenance and repair activities in a timely manner; work with Public Works Operations staff to coordinate and plan outside contractors for construction and repair work for the shelter; complete follow-up and inspection of work completed by contract vendors
  • Compiles and/or monitors various administrative and statistical data pertaining to departmental operations; performs research as needed; makes applicable calculations; analyzes trends; prepares or generates reports; maintains records; oversees the maintenance of records.
  • Prepares or oversees the process of preparation and completion of various forms, correspondence, reports, specifications, budget proposals, performance evaluations, and other documents.
  • Receives various forms, reports, work orders, invoices, purchase orders, budget reports, site plans, subdivision plots, construction plans, specifications, architectural drawings, manuals, code books, reference materials, or other documentation; reviews, completes, processes, forwards or retains as appropriate.
  • Operates a motor vehicle, personal computer, general office equipment, or other equipment as necessary to complete essential functions, to include the use of, a computer, shelter management software, spreadsheet, database, e-mail, Internet, or other computer applications.
  • Maintains a comprehensive, current knowledge and awareness of applicable laws/regulations; maintains an awareness of new trends and advances in the profession; reads professional literature; maintains professional affiliations; attends workshops and training sessions related to shelter management and animal welfare as appropriate.
  • Performs other related duties as assigned.

Minimum Qualifications

Education and Experience:
High school diploma or equivalent; supplemented by two (2) years of Animal Shelter management or Animal Shelter/rescue experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Licenses or Certifications:
Valid State of Alabama driver’s license.

  • Knowledge of basic arithmetic functions.
  • Knowledge of basic laws, codes, ordinances, and new procedures.
  • Skill in operating, maneuvering and/or controlling the actions of equipment, machinery, tools, and/or materials used in performing essential functions.
  • Ability to calculate and/or tabulate data. Includes performing subsequent actions in relation to these computational operations.
  • Ability to provide guidance, assistance, and/or interpretation to others regarding the application of procedures and standards to specific situations.
  • Ability to utilize a wide variety of reference and descriptive data and information.
  • Ability to perform addition, subtraction, multiplication, and division.
  • Ability to carry out instructions furnished in written, oral, or diagrammatic form. Involves semi-routine standardized work with some latitude for independent judgment concerning choices of action.
  • Ability to exercise judgment, decisiveness and creativity in situations involving a variety of generally pre-defined duties which are often characterized by frequent change.
