The Ambulatory Doctors' Office Operations Support Coordinator is responsible for providing support to front office and clinical support staff in HUMG Doctors' Offices during the initial GoLive phase after implementation of Ambulatory EMR, scheduling, registration and revenue cycle tools, as well as ongoing support. Ongoing support to include demonstrating proper workflow and assisting staff at their assigned workstation with common tasks performed in Epic. Provides remedial support to doctor's offices to comply with operational norms and workflows. This position will be assigned to a multitude of HUMG Practices to assist with the successful implementation and usage of Ambulatory Epic tools.
Responsibilities
A day in the life of an Ambulatory Office Support Coordinator with Hackensack Meridian Health includes:
  • Coach and assist staff in HUMG doctors' offices to adopt workflows that will enable efficient use of Epic:
    • Inbox message and file, results of laboratory tests and scans. o Room patients, take vital signs and prepare patients for assessment and treatment by doctors.
    • Place orders, prescribe medications, document in ambulatory electronic medical record.
    • Obtain insurance pre-authorizations for treatments and diagnostic. procedures and refer patients for specialist care, treatments and diagnostic procedures.
    • Register and schedule new and follow-up patient appointments, including assisting with back loading appointments for the Epic Implementation.
    • Manage patient calls and utilize inbox messaging tools.
    • Reconcile visits against closed encounters and respond to all assigned work queue inquires.
    • Accept check-in and check-out patients, including but not limited to payment at time of service, account inquiry, real-time eligibility verification, create guarantor account, register patients, cancel and reschedule visits, schedule follow up visits and maintain appointment schedules.
  • Exercise skill in prioritizing assignments in order to help staff in HUMG doctors' offices complete work in a timely manner when becoming accustomed to new software systems and workflows, including registering and scheduling patients, scheduling procedures and tests, organizing daily patient schedules, triaging incoming patient reports to appropriate locations, documenting phone messages, obtaining and documenting insurance pre-authorizations and pre-certifications and facilitating physician and patient administrative needs.
  • Based on interactions with staff and doctors in HUMG doctors' offices, identify topics and course curriculum enhancements for HUMG Practice Operations Training program.
  • Assist HUMG Practice Operations Trainers with maintenance and distribution training tools and documents related to Ambulatory Epic: tipsheets, training manuals, videos, etc.
  • Assist HUMG Practice Operations Trainers with testing of build related to Ambulatory Epic modules for scheduling, EMR, PB billing.
  • Maintain cooperative and professional relationships with physicians, nurses and office and clinical staff.
  • All other related duties as required.

Qualifications
Education, Knowledge, Skills and Abilities Required:
  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Experience and competency with varied computer hardware and software, including practice management systems, word processing, spreadsheet, database, scheduling, and communications.
  • Knowledge of insurance company's office visit and procedure policies to complete pre-authorization requirements.
  • Ability to compose and edit logical, detailed, comprehensive and grammatically correct correspondence.
  • Knowledge of medical terminology.
  • Complete all HUMG Practice Operations Training programs and must pass all exams within 90-day probationary period.
  • Ability to be flexible regarding responsibilities when needed.
  • Demonstrate communication skills: using appropriate vocabulary and grammar when obtaining and conveying information to physicians, nurses and staff at various levels; in person, over the phone, in writing and in electronically sent messages.

Education, Knowledge, Skills and Abilities Preferred:
  • AAS preferred.
