Alvin Ailey American Dance Theater, one of the world's premier dance institutions, is seeking a motivated and personable team player to work in the Arts In Education & Community Programs (AIE) department. The AIE Assistant will report to the Business Manger under the supervision of the Director and is responsible for supporting the daily administrative duties for the arts in education initiatives of Alvin Ailey Dance Foundation, including partnerships with Pre-K-12 schools, AileyCamps, National Outreach, and Community Programs. Candidates should be extremely organized and detail oriented, self-motivated, a personable team player, and be able to juggle multiple projects simultaneously.

 

Responsibilities include, but are not limited to:

  • Provide administrative support for all AileyCamp related activities, including meeting preparation, camper interviews, final performances, evaluations, workshops, and website and forms updates
  • Assist AIE Program Managers with ADK residencies as needed, including CASA and other funded ADK residencies
  • Generate confirmation memos for all AIE work assignments
  • Provide support and coordination for National Outreach residencies, including travel arrangements, materials and supplies, media releases, and evaluations as needed under the supervision of the AIE Program Manager
  • Assign substitute teaching artists and musicians as advised by the AIE program staff
  • Manage Sling, tracking availability of Teaching Artists and Musicians
  • Update bios for Teaching Artists and Musicians, handle the submission of head shots, and generate Ailey ID cards for Teaching Artists and Musicians
  • Provide administrative support and event coordination for AIE and AileyCamp events that take place at the Ailey building including, but not limited to, building tours, workshops, and master classes
  • Coordinate ticket reservations for AIE students attending student matinees and AileyCamp reunion events at New York City Center and New Jersey Performing Arts Center (NJPAC)
  • AIE and AileyCamp publications: support as needed in the creation of programs for schools, handbooks, and other documents as needed; handle media releases, and/or other documentation for all AIE programs
  • Process department correspondence to schools, organizations, Teaching Artists and Musicians, others as needed
  • Oversee AIE and AileyCamp evaluation surveys for TAs, educators, and students (generate/update, distribute, track, collect and summarize); collect quotes from the surveys for marketing purposes

 

Skills/Qualifications:

  • Bachelor's Degree with experience in the arts, or arts-related field and prior experience in non-profit administration
  • Must possess strong interpersonal, verbal, and written skills; with a pleasant telephone manner and a clear email communication style
  • Strong, detail-oriented project management skills, with the ability to prioritize tasks and meet deadlines while managing multiple projects and overseeing client needs simultaneously
  • Must have strong computer skills including Microsoft Word, Excel, PowerPoint, PDF editing, database experience, and online video platforms
  • Must be a willing and flexible team player, showing initiative to do what needs to be done to get the job done
  • Must be able to accommodate a flexible schedule that includes evenings and weekends; willingness to travel within the local metro area
