Advancement Operations Coordinator, University Advancement


Description of the Position

The Advancement Operations Coordinator (AOC) position in the University Advancement & Alumni Relations Office is a full-time, non-exempt position. This position requires a strong sense of collaboration, accountability, innovation, initiative, direction, empowerment, and forward thinking. All of these qualities will allow the AOC to successfully and effectively track gift processing and run internal reports for the benefit of the Office of University Advancement and the Alumni Relations Office.

The AOC must be well organized and proactive as priorities shift between personnel and operational needs. The ability to consistently sustain a balance in managing multiple, demanding priorities is key to being successful in this position.

Essential Functions

  • Processes all donor gifts, ensures receipts are generated and sent, and all designations are appropriately tracked.
  • Runs internal reports through the given university software and provides superior attention to detail as it pertains to data integrity.
  • Responsible for supervising, training and directing student employees, temporary employees and volunteers.
  • Delivers administrative support for confidential, critical and time sensitive projects.
  • Processes Purchase Orders, allocates expenses, and works collaboratively with the Business Office to ensure best practices.
  • Oversees communication to stakeholders, donors, staff and faculty providing information from the Office of University Advancement and the Alumni Relations Office.
  • Serves as first point of contact for the Office of University Advancement, ensuring excellent customer service.
  • Oversees the University Advancement email, answers University Advancement Office calls and provides information as needed to ensure excellent customer service.
  • Composes, prepares, and ensures timely responses to a variety of routine written inquiries.
  • Collaborates and provides support to the University Advancement and Alumni team assisting with administrative, organizational and project initiatives.
  • Oversees matching gifts from our corporate entities.
  • Processes donor giving receipts and end-of-year giving receipts.
  • Serves as the point of contact for all third-party vendors that assist with online giving platforms.
  • Supports various stewardship projects and activities, including stewardship of major donors, planned gift donors and ad hoc stewardship requests.
  • Provides administrative support for the Office of University Advancement, including support to the Vice President for External Relations and various University Advancement Directors.
  • Performs other duties as assigned.
Requirements:

Minimum Qualifications

  • A minimum of two years of clerical or customer service experience, preference given to those who have served in administrative or clerical roles in the non-profit sector and/or academics with leadership experience
  • Excellent communication skills
  • Proven ability to provide exemplary customer service
  • Ability to act with professionalism and tact
  • Computer knowledge of Windows, MS Word and Excel and ability to learn job specific programs
  • Ability to problem solve, reason effectively and work with limited supervision
  • Ability to lead a team of student employees and volunteers living into the mission and values of NNU
  • Ability to maintain strict confidentiality
  • Ability to effectively work in an often ambiguous environment
  • The University requires that all candidates be a committed, growing Christian (preferably in the Wesleyan tradition), and must be comfortable with and in agreement with the mission and lifestyle values of NNU

  • Bachelor’s degree

Compensation

Salary determined by the educational background and experience of each applicant.
