POSITION PURPOSE

Responsible for working as part of the admission team, within the department of enrollment management. The individual is primarily responsible for the oversight of all internal operations regarding applicant and admissions processing as well as prospective student advising and international admissions.

As with all members of the enrollment management team, the central focus is to help attract, recruit, and enroll quality prospective students to the university. The individual must possess excellent customer service skills and the ability to communicate in an informative and professional manner as well as be prepared to work on campus as this position is a primarily onsite position. In addition, the position assists in the coordination of enrollment management initiatives as requested by the Senior Director of Enrollment Management.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  1. Application & Advising Process
  1. Oversee all data entry necessary for tracking targeted applicant information
  2. Possess knowledge and application of WebAdmit programs, processes, data retrieval tools and functions and applicable labels (statuses, lists etc.)
  3. Manage daily operations by tracking Advisor metrics such as call volumes, advising sessions, service levels, activity lists, and other workforce metrics and taking action to address performance gaps, prioritize work, or adjusting Advisor scheduling, as needed.
  4. Create and perform trainings and professional development opportunities for the Admissions team to maintain and upgrade skills for advising, communicating with prospective students, and applicants.
  5. Maintain retention plan for new, incoming students to successfully retain new students after enrollment.
  6. Understand, to the extent of able to assist in, the application process including access and knowledge about application portal, Salesforce, FormTitan and/or any other implemented system for the application process.
  7. Possess knowledge and keep apprised of updates, new information, current and future processes, standard procedures related to international admissions.
  8. Understand and update international admissions standard operating procedures within the Admissions team and communicate these procedures with Enrollment Management leadership.

  1. Admission Policies and Procedures
  1. Expert knowledge of program outcomes and admission requirements for each program.
  2. Acts as ambassador and representative of Admissions, Enrollment Management and University, on and off campus.
  3. Continuous communication and working relationship with program directors from each program to anticipate possible changes/adjustments to enrollment projections as well as for collaboration efforts to obtain and retain students.
  4. Report via Salesforce to create, modify, present and execute on reports related to yield rates and conversions (lead to contact, contact to activity, activity to application, application to enrollment etc.).
  5. Train and supervise team members including removing barriers, measuring outcomes, creating and evaluating key performance indicators, and provide updates relating to goals.
  6. Weekly SWOT updates/meetings with team as it relates to Admissions.
  7. Maintain Admissions policies and procedures as well as draft additional policies as needed.
  8. Create, maintain, update standard operating procedures, policies as applicable to the Admissions team and ensure they are accessible and organized.

  1. Communication with Applicants & Prospective Students
  1. Maintain knowledge about all programs and have the ability to answer questions of applicants as well as advise when necessary to post-professional and entry-level programs.
  2. Ensure Admissions is communicating, updating, and assisting applicants’ progress.
  3. Ensure Admissions advisors are communicating, updating, following processes and protocols for advising prospective students.
  4. Maintain knowledge about all aspects of application process including systems therein.
  5. Maintain knowledge for international applicants and admission procedures as practiced by the International Admissions Manager.

  1. Other Duties
  1. Collaborate with Admissions team by analyzing, and summarizing data and trends; interpret metrics and data for enrollment or programmatic projections.
  2. Collaborate with Enrollment Management leadership to ensure seamless communication and coordination of enrollment efforts
  3. Report/present enrollment data as Admissions Ambassador to Senior Director of Enrollment Management, campus leaders, or other University representatives as required.
  4. Coordinate with Enrollment Management Student Marketing department for print, web communications to increase outreach and interest in all programs.
  5. On-going and working knowledge with Salesforce, Pardot, texting systems (ValueText), scheduling systems (Drift) and any other system applicable to Admissions and its processes.

Position Reports to: Senior Director of Enrollment Management

Positions Supervised: Application Manager; International Admissions Manager; Admissions Advisors; Admissions Coordinators


WORKING REQUIREMENTS/CONDITIONS

Education/Certification:

Bachelor’s degree from an accredited college or university required

Required Knowledge:

Proficiency in MS Office Suite, and experience in word processing, internet navigation, databases, and e-mail

Experience Required:

3+ years’ experience in an admissions or other student services or equivalent

Skills/Abilities:

Proficiency in MS Office Suite, and experience in word processing, internet navigation, databases, and e-mail.

Must be accurate, have attention to detail, & complete projects as assigned.

Must be able to prioritize projects and tasks effectively.

Ability to communicate effectively, both verbally and in writing
