Job description

Job Overview: Montana State Hospital provides acute care psychiatric inpatient treatment for adults with serious mental illness.  The Admission/Discharge Manager is responsible for coordinating the admission and discharge of patients to Montana State Hospital.   Responsibilities includes acting to ensure appropriate admissions for placement and care, serving as a liaison between the Hospital and community, providing assistance with the patient discharge process, and supervising assigned support staff.

Essential Duties or Responsibilities:  

Major Duties or Responsibilities:

  1. Patient Admission                                                                                                                                            55%

         Coordinates admissions including Involuntary, Emergency Detention, Court Ordered Detention, Inter-institutional Transfer, Tribal Court Involuntary Commitments, Interstate Compact Transfers, and possible Criminal Court Orders to Montana State Hospital.

         Develops collaborative working relationships for patient admissions between community mental health providers, hospitals, and all other referral sources.

         Consults with referring agencies and mental health professionals regarding the appropriateness of referrals. 

         Consults with the admission team regarding pending admissions to Montana State Hospital.

         Serves as the Interstate Compact Coordinator for the State of Montana.   Receives referrals from Interstate Compact Coordinators of other states and presents to the multidisciplinary admission team.

         Consults with Admission team for appropriate patient admission and provides admitting information to the providers and treatment team staff in the assigned unit.

         Reviews all commitment orders and other legal documents and confers with the attorney(s) as needed to clarify individual's commitment status. 

         Follows Admit Policy of Montana State Hospital and all relevant Administrative Rules of Montana (ARM) and Montana Code Annotated (MCA) codes of Montana.  

 

  1. Admission/Discharge Service and Support                                                                                                    20%       

         Provides assistance and support to community and staff on issues related to patient admission.

         Actively participates in hospital-wide performance improvement activities including identification of performance indicators, data collection, data analysis, and performance planning and evaluation.

         Provided assistance and support services to the Discharge Technician. 

         Maintains a filing system.

         Performs other duties as assigned.

 

  1. Supervision and Workforce Development                                                                                                      15%

         Provides support and supervision of the Admission/Discharge employees to ensure services are delivered to high quality.

         May plan and implement staff development programs.

         Oversees direct reports including, but not limited to, providing performance appraisals, hiring, engaging in progressive discipline, and authorizing continuing education.

         Establishes, assigns, directs, monitors, and balances employee workloads.

         Provides clinical insight to scenarios needing consultation.

         Ensures dissemination of information through regular staff meetings.

 

  1. Other Duties as Assigned                                                                                                                              10%       

         Maintains active role within the hospital senior leadership team.

         Provides support to the Hospital Administrator/Chief Operations Officer.

         Performs tasks related to executive-level hospital projects and other tasks as directed.

         Represents the senior leadership group externally in all matters related to Admission/Discharge functions.

 

Physical and Environmental Demands: Professional Clinical, Medical, and Nursing Services positions primarily work on treatment units and in a clinic setting.   These positions are involved in the treatment of persons who pose unpredictable and physically aggressive behavior requiring staff intervention and possible risk of injury to staff.  Employees in these positions may be expected to assist with patient crisis interventions.  These positions are also involved in the evaluation and treatment of persons with histories of serious criminal acts.  Training in hospital approved intervention techniques and Mental Health Professional Person Certification is required.

Knowledge, Skills and Abilities:

  • Extensive knowledge of professional, ethical, and evidence-based standards of practice for healthcare professionals in different disciplines and for operation of a healthcare facility.
  • Strong working knowledge of clinical methods and best practices.
  • Ability to review and apply statues, administrative rules and hospital policies in actual situations. 
  • Ability to maintain a good working relationship with staff, administration, patients, family, other mental health providers.
  • Ability to effectively utilize knowledge and skills and apply them to practical assessment development skills.
  • Ability to communicate effectively, verbally and in writing.
  • Ability to analyze, assemble and organize information.
  • Understanding of individual and team approaches of treatment and therapy for mental health disorders.
  • Effectively utilize knowledge and skills and apply them to practical assessment and treatment modalities for patients.
  • Ability to compose and provide information in the form of reports and complete clinical documentation.
  • Effective interviewing and information gathering techniques.
  • Excellent time management skill and ability to prioritize work.
  • Ability to operate a personal computer and general office equipment as necessary to complete essential functions, including using spreadsheets, word processing, database, email, internet, and other computer programs.

Minimum qualifications (Education and Experience):

  • Bachelor's degree in psychology, Social Work, or directly related healthcare field required.
    • Relevant and recent (within 5 years) experience may substitute for education on a year for year basis.
  • 2 years' experience working in a mental health psychiatric or social service support setting required.
  • 2 years' experience in a supervisor or manager capacity preferred.
