Key Responsibilities:

  • Calendar management and ability to make quick decisions while balancing internal and client priorities. Our calendar management is like solving puzzles and it takes an innovative set of eyes. We use GSuite.
  • Manage client communication via email inbox and phone with clients, vendors, and team members.
  • Prioritize tasks, and handle all incoming requests in tandem with the office or operation manager.
  • Coordinate and arrange meetings, and consultations, assist the design team on their projects by preparing and following up with action items promptly.
  • Provide clear coordination for the lifecycle of projects from initial inquiry to completion of client projects.
  • Organize all project materials in support of the design team.
  • Adapt to SSTS core values while providing clear, concise, professional, and timely communication.
  • Day to day tasks for running the office.
  • Responsible for some research and special projects on an as-needed basis.
  • Working in a small company, you might occasionally be asked to do tasks that are not on this list.
  • Creating digital folders for the projects.

Requirements:

  • Again, we are looking for the right person with the right attitude and qualities. We can invest and train the right person.
  • Highschool diploma or equivalent
  • Business Admin or AA degree is a plus.
  • Excellent written and verbal communication skills are a MUST.
  • ORGANIZED!
  • Can work in a fast-paced place. During our busy season, especially, you will get pulled away and need to be able to multi-task.
  • 2+ years of prior administrative or office related experience is plus.
  • Microsoft Office Suite
  • G-Suite
  • Strong organizational skills showing the utmost attention to detail
  • Ability to quickly react to urgent requests
  • Manage multiple competing tasks at once
  • Patience and flexibility is key to success
  • Constantly work to improve efficiency
  • Present a polished and professional presence in representing the company and the ability to multi-task and work in a fast-moving environment while focusing on clarity and solutions
  • Strong team player that can work independently while sharing information clearly and concisely
  • Passionate self-starter that is excited to get to work
  • Social media management is a plus
  • Any bookkeeping and excel sheet experience is a plus
  • Reliable transpiration.

Benefits:

  • $20-$25 per hour, depending on the level of experience
  • Paid Time Off – based on WA State Law. Starts on day 1 of employment.
