Job Overview:
Commercial Safe and Lock has an opening for an administrative assistant/dispatcher with strong customer service skills. Prior experience in a service related industry is highly preferred. Confidence, a clear phone voice and problem solving abilities are key to being successful in this position.
Primary job function:
Prepare service invoices for processing. Data entry of new jobs and a variety of other office duties including but not limited to customer courtesy calls, credit card billing, A/P, receiving inbound calls and creating service tickets. Preparing the technicians parts for jobs each week. Maintaining customer database with current information. Clear and concise communication with managers, employees and customers, including keeping customers up to date with scheduling and lead-times.
Responsibilities:
- Manage and maintain calendars, scheduling appointments and meetings
- Perform general clerical duties, including data entry, filing, and organizing documents
-Prepare service invoices for processing
- Answer phone calls and direct inquiries to the appropriate person or department
- Assist with order entry and inventory management
- Assist with office management tasks, such as maintaining office supplies and equipment
-A variety of other office duties included but not limited to customer courtesy calls, credit card billing, reporting and A/P, receiving inbound calls and creating service tickets.
-Maintaining customer database with current information
-Clear and concise communications with managers, employees and customers, including keeping customers appraised as to company schedule and requested lead-times
-Getting jobs ready for technicians each week/day.
Experience:
-Confidence, a clear phone voice and problem solving abilities are key
- Proficient in Word and Excel
-Pleasant phone demeanor
-Knowledge of service industry is nice but not required
-Advanced customer service skills
-Ability to multi-task
-Organized
