Admin/Project Support
SIRC Family of Companies is seeking a professional, friendly receptionist to represent our team and serve as the first point of contact for guests visiting our office from 8:00 a.m. to 4:30 p.m., Monday through Friday. Key responsibilities for this person include greeting guests when they arrive on-site, explaining how to navigate our office, answering and transferring phone calls, supporting the engineering and project management team, and managing our incoming and outgoing mail.
Key duties and responsibilities
Office Administration:
● Answer and direct all phone calls
● Greet all office guests
● Collect and sort all mail and packages
● Provide administrative support to all team members as necessary
● Answer guests' and employees' questions
● Submit designated reports by deadline(s)
● Maintain HubSpot database of clients and ensure all details are up-to-date
● Communicate via Podio with roofing and solar contractors
● Use Acculynx, Monday, HubSpot and Podio directed for each project and business channel
Bookkeeping & Payroll:
● Process invoices and pay outstanding bills for company accounts
● Perform light bookkeeping and financial record-keeping
● Compile and review crew field crew hours to prepare for payroll. Send to the manager for approval, and submit.
Project Management & Engineering Support
● Make all hotel reservations including CC authorizations for crew and staff when needed. For extended periods, work with hotels to obtain discounts if possible. Manage all car rentals.
● Create online folders for all prospective bid projects and clients, create accounts in HubSpot and monitor for updates regularly.
● Monitor the generic email accounts and process according to designated workflow. Assign to the appropriate person and monitor regularly.
● Order project supplies and rentals as directed by Project Manager.
● Coordinate activities with Project Manager/s regarding implementation work on a daily basis. Support them for their activities by creating documents, email drafts, and other activities assigned by them.
● Support engineering staff by carrying out assigned documentation and follow-up activities.
Maintenance Contracts:
● Follow workflow process for all maintenance orders that are received
● Provide updates to Property Managers as needed regarding status updates
Requirements for the ideal candidate include:
● High school diploma or equivalent, 2 year degree preferred
● Professional demeanor including reliability
● Familiarity with basic office software
● Ability to operate scanners, copiers and printers
● Previous project management support experience
● Must be able to manage multiple tasks and be organized
Preferred qualifications:
● Bilingual abilities in English and Spanish
● Experience in a construction environment
● Bookkeeping skills
● CRM and Project Management platform experience (HubSpot, Monday, Podio, Acculynx)
