We are looking for an Administrative Assistant to perform a variety of administrative tasks and support our company’s Director of Sales. Administrative Assistant’s responsibilities include managing appointments, prioritizing e-mail communications, prioritizing correspondence. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to senior management.
Responsibilities
- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Manage Directors calendars and set up meetings
- Make travel and accommodation arrangements
- Work as a delegate for organizing and prioritizing e-mail communications through Outlook
- Take minutes during meetings
- Screen and direct phone calls and review mail/correspondence
Skills
- Experience: Work experience as an Administrative Assistant, Personal Assistant or similar role (3-4 years experience)
- Organizational Skills: The candidate should have a strong ability to organize tasks, prioritize work efficiently, and maintain a structured approach to their responsibilities.
- Expertise in Microsoft Excel: Proficiency in Microsoft Excel is crucial, as this tool is often used for data analysis, reporting, and various administrative tasks.
- Time Management: Effective time management is essential to ensure that tasks are completed in a timely and efficient manner, allowing for maximum productivity.
- Calendar and Email Management: The assistant should be proficient in managing calendars, scheduling appointments, and handling email correspondence efficiently.
- Task Management: The candidate should have the ability to handle various tasks efficiently and with attention to detail, ensuring that all assignments are completed accurately.
- Presentation Skills: The assistant should be capable of creating and presenting reports and presentation materials effectively.
