Administrator
Provide administrative and clerical support to the onsite team as well as team members based elsewhere.
Job Description:
• Work with Production Manager and Project Managers to create, maintain, track and report upon project schedules.
• Assist Production Manager with the day-to-day management and administration of all projects in house; to include managing resource schedules, updating the project work break down structure in ERP system, overseeing logistics, running reports/verifying information in ERP system.
• Work with Operations Team to generate and maintain all documentation related to material movement into, out of and within both facilities on site as well as recording all material related transactions in ERP system.
• Liaise between the onsite technical team and Engineering, Procurement, Project Management and Administrative team members located elsewhere.
• Create reports and generate presentations for internal and external meetings.
• Assist in the creation and management of project documentation and customer submittals.
• Manage project resource assignments within the ERP system.
• Assist with oversight and tracking of compliance related tasks and documentation.
• Launch projects in the ERP system.
• Assist with generation and maintenance of operational procedures and associated compliance documents and responsible for establishing and maintaining a system for proper documentation, good recordkeeping, and effective communication.
• Maintain Safety Data Sheets for both facilities.
• Special projects as needed.
Essential Skills:
• Bachelor’s degree.
• 1 – 2 years of experience in an administrative role for a technology company
• US citizen or permanent resident legally authorized to work in the US and able to successfully pass a complete background check and drug test.
• Proficiency in MS Office suite and familiarity working with an MRP/ERP system.
• Ability to solve problems creatively.
• Self-motivated and confident with a positive attitude and ability to work in a team environment.
• Excellent interpersonal skills and the ability to build and maintain relationships and effectively communicate with both internal and external customers.
• Flexible and able to work under pressure in an evolving, fast-paced environment.
• Superior written and verbal communication skills.
• Must be highly organized with sound decision making skills and able to multitask in an extremely dynamic environment.
Non-Essential Skills:
• Bachelor’s Degree in a STEM discipline.
• Prior experience in a highly organized, quality controlled, and procedure driven environment.
• Familiarity working with BOMs.
• Ability to read schematics and mechanical design documents.
• Experience with Microsoft Dynamics AX 2012 ERP System
Physical & Mental Demands:
• Regularly required to sit and use computer equipment for prolonged periods of time.
• Will be required to sit, stand, walk, bend and work in both office and industrial environments.
• Will need to repeatedly use hands to finger, handle, feel and operate standard office equipment.
• Could be required to lift, move, carry, and/or maneuver materials up to 50 pounds alone; heavier with assistance.
• Specific vision abilities required include close vision, distance vision and the ability to adjust focus.
• Expected to effectively communicate in person, on phone, and via email and other electronic devices on a continual and repetitive basis.
• Able to fulfill essential job function in a consistent state of alertness and safe manner.
